Long-term Executive Assistant to join our awesome team of 10-15 people

Looking for a Start Up team member who prides themselves on being Intra- Entrepreneur and likes partnering with an Executive

*Hours are PST and some weekends

Saas Requirements: ClickUp, Slack, 1Password, Google Drive, Front, Airtable, and other organizational tools. You love these tools and rate yourself a 7/10 using them and have a good work station set up with 2 screens to run all the SASS we use during co working.

Executive is seeking a highly organized and proactive individual to join our team as an Executive Assistant. A successful candidate will play a crucial role in supporting the Managing Partner in day-to-day tasks and supporting the larger team with coordination. The ideal candidate should have a service-first mindset, be detail-oriented, exhibit a can-do attitude, and be solution-oriented. This person enjoys making a difference and thrives under pressure We are looking for someone to bring their IQ + their EQ to the exciting environment. I am specifically looking for someone who has been an EA before for an Executive who has a background like mine. You have done this role before and are calm, confident and enjoy taking care of an executive and setting them up for success.

Maintain and schedule Executive's calendar efficiently.

You book executive travel with ease and have a lot of experience booking business travel

You enjoy all aspects of making reservations, researching best places to visit and are good with working with all travel partners.

You book car services, meetings and all logistics

You book 5-8 medical, personal and wellness appointment a month

Ensure timely distribution of calendar invites.

You are excellent at customer service, managing expenses and facilitating all refunds and returns.

You are A+ at online shopping and research all over the world.

You have no issue dealing with shipping logistics and getting items from point a-b

Manage projects, meeting agendas, timelines, and follow-ups.

Anticipate and address schedule priorities proactively.

Communicate and collaborate with teams, keeping them informed of changes.

Coordinate business events, conferences, and meetings logistics.

Act as the main point of contact for the Executive

Monitor and manage Executive's emails, prioritize, and draft responses.

Coordinate introductions and meetings with external parties.

Track tasks and deadlines, sending reminders to the team.

You have no issue tracking next steps and following up until things are done

Personal Support:

Assist in scheduling podcasts, speaking engagements, and PR events.

Act as main contact for the Executive, coordinating travel and schedules.

Research relevant content for the business.

Manage travel, reservations, medical appointments, and family calendar.

Maintain medical records, car leases, repairs, and family trip planning.

Handle prescriptions, appointments, and wellness bookings.
