Aqurate is a high-growth start-up developing AI-based personalization tools for eCommerce players. We work with top players in Romania (PC Garage, Evomag, The Home, Dasha, imobiliare.ro) and are expanding internationally.
We have offices in Timisoara (RO) and Bucharest (RO), as well as colleagues based in Sibiu (RO) and Mannheim (DE). The Office Administrator role plays a crucial part in our operations and being part of the team gives you the chance to have a significant impact on the company's growth.
What we need
We are seeking a detail-oriented and organized Office Administrator to join our team who is motivated by optimizing operational aspects of the Company. This role is ideally located in our Timisoara (RO) office, but other remote locations in Romania will be considered.
What you will be doing
1) Manage day-to-day administrative operations, including but not limited to:
- Assisting in the coordination and execution of company events and activities
- Assisting in the preparation of reports, presentations, and other documentation
- Coordinating travel arrangements and accommodations for staff members
- Maintaining office supplies inventory and placing orders as necessary
2) Assist with HR and employee-related tasks, such as:
- Maintaining employee records
- Assisting with new employee onboarding and orientation processes
- Assisting with HR documentation, including contracts and employee handbooks
3) Collaborate with vendors, suppliers, and service providers to ensure smooth operations:
- Researching and selecting vendors, negotiating contracts, and managing relationships
- Monitoring and reconciling office-related expenses and invoices
- Management of invoices in coordination with our accountant
Requirements
- Proven experience as an office administrator, office assistant, or similar role
- Excellent organizational and time management skills
- Strong attention to detail and problem-solving abilities
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and office equipment
- Strong verbal and written communication skills (Romanian and English)
- Proactive and able to work independently with minimal supervision
- Discretion and professionalism when dealing with sensitive information
- High level of integrity and a strong work ethic
Preferred Qualifications
- Previous experience in HR or payroll administration
- Familiarity with office management software or tools
