WANTED: Enthusiastic Global Events Coordinator!
Join our team to create spectacular experiences for our local and international clients! The Global Events Coordinator will plan and assist the event team in organizing event logistics for assigned clients. This position involves close collaboration with the Events team and other Virtual staff to ensure the successful implementation of client event services. Are you ready to join us?
Preference for local candidates to work out of our Wakefield, MA office 3 days/week (Tuesday & Thursday anchor days, 1 floating day).
Here's what you'll do:
- Support logistics of events from start to finish, including venue selection, catering, A/V, hotel coordination, room blocks, registration, mobile app, and vendor coordination, onsite event volunteers, inventory and ordering of event supplies, and event sponsorship support.
- Build and manage online registration systems; create regular reports for clients.
- Oversee event email alias, providing customer service and escalating issues as needed.
- Serve as main point of contact for speakers, managing deliverables, registrations, and reservations.
- Draft event-related documents such as weekly reports, post-event surveys, timelines, budgets, sponsorship prospectuses, and communications.
- Manage webinars and online events, ensuring technical quality and smooth transitions.
- Assist in developing marketing materials and conference websites.
- Collaborate with Events team on administrative support and additional projects, as needed.
- Get to travel locally and globally to events as needed (a nice perk).
As our next Global Events Coordinator, you will bring:
- Bachelor's degree in hospitality management preferred; prior internships in events/hospitality industry preferred.
- 1 year of direct experience in the events/hospitality industry required.
- Detail-oriented with strong organizational and project management skills.
- Ability to manage multiple projects and meet deadlines in a fast-paced environment.
- Self-starter capable of working independently with limited supervision.
- Effective problem-solving, judgment, and decision-making skills.
- Excellent customer-service and interpersonal skills.
- Strong writing and editing skills.
- High level of creativity and a hands-on working style.
- Flexible, able to work both independently and as part of a team.
- Willingness to travel domestically and internationally up to 25%.
- Ability to meet applicable travel and client requirements.
- Proficiency with Microsoft Suite programs.
- Quick learner of new technology platforms and tools, such as Cvent and Wrike.
The target hiring range for this role is $45,000 - $50,000 USD (annually). The starting base salary will be determined based on skills, experience, location, and other job-related factors.
