Our client, a distinguished philanthropic organization, is looking for a temp-to-perm Administrative Assistant to support one of their Department Leaders, as well as a few of their direct reports.
Rate: $45-50/hour (potential to convert to a full-time position)
Office policy: Onsite 5x/week
Key responsibilities include:
- Coordinate team activities, meetings, agendas, schedules, and follow up
- Provide day-to-day administrative support to multiple Leads
- Manage calendar(s), including scheduling appointments, arranging meetings, anticipating needs and changing/rearranging meetings as appropriate
- Assist with major team projects as needed – demonstrating the ability to respond to priorities and resourcing needs as they shift over the lifecycle of our programs
- Track and ensure follow-up from meetings and events
- Ensure team projects are on schedule and deadlines are being met
- Data entry: maintain data quality and integrity across range of platforms
- Prepare briefings, presentation materials, reports and analysis
- Field inquiries to appropriate team members, respond to employee and outside inquiries, and ensure timely response to urgent issues
- Coordinate travel arrangements
- Support events, including compiling invite lists, drafting correspondence, tracking attendance, and providing day-of assistance
Qualifications for the Ideal Candidate:
- Bachelor’s degree required
- A minimum of 5 years of experience as an Administrative Assistant supporting a senior manager, in a fast-paced, high-performance work environment
- Demonstrated interest in non-profit organizations
- Outstanding interpersonal and communication skills and the demonstrated ability to effectively interface with senior level colleagues, both verbally and written
- Ability and desire to build and maintain strong relationships with team and applicable internal and external contacts
- Ability to effectively manage/coordinate simultaneous projects, and successfully prioritize multiple tasks with sound judgment
- Resourceful, motivated, efficient, pro-active and customer service oriented
- Ability to protect confidential and sensitive information of the organization
- Proficient in MS Suite specifically Outlook, Word, Excel, and PowerPoint
- Discretion, excellent judgement and proven ability to deal with high profile stakeholders
