Ampersand Property Management specializes in lease listings and overseeing the management of residential properties with a commitment to exceptional service and client satisfaction. We seek a proactive and organized Operations Assistant to join our team and support our daily operations.
Position Summary:
As an Operations Assistant, you will play a key role in ensuring the smooth functioning of portfolio and property management operations. You will assist the owners with administrative tasks, listing management, tenant onboarding and inquiries, and property maintenance coordination. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a dynamic work environment.
Key Responsibilities:
- Answer and direct phone calls, text messages, emails, and respond to inquiries
- Respond promptly to tenant inquiries, concerns, and maintenance requests.
- Assist Property Managers with scheduling appointments, property showings, and inspections.
- Coordinate maintenance requests and repairs with contractors and vendors.
- Coordinate and oversee tenant move-ins and move-outs.
- Travel between properties to conduct walkthroughs to ensure properties remain well-maintained.
- Process payments, manage invoices, and handle other financial transactions accurately.
- Maintain office filing and documentation systems.
- Perform general administrative tasks such as data entry, scanning, and filing.
Qualifications and Skills:
- High school diploma or equivalent.
- Valid driver’s license and reliable transportation.
- Previous experience in an administrative role or property management is a plus.
- Proficiency in G Suite and can easily learn new software.
- Excellent communication skills, both verbal and written.
- Strong organizational and time-management skills with the ability to prioritize tasks.
- Attention to detail and accuracy in data entry and documentation.
- Ability to work independently and collaboratively in a team environment.
- Professional demeanor with a customer service-oriented attitude.
Additional Information:
- This part-time independent contractor position requires approximately 20 hours per week, with the possibility of additional hours.
- Work remotely during normal business hours, with flexibility for intermittent meetings or property visits.
- Compensation starts at $22.50/per hour.
- Potential for ongoing collaboration and project-based assignments.
