Job Summary:
Are you a detail-oriented individual with a passion for coordinating creative projects? We are seeking a Photoshoot Administrative Coordinator to join our dynamic team. In this role, you will be responsible for ensuring the smooth and efficient execution of all administrative tasks related to our photoshoot projects for both brands iHeartRaves & INTO THE AM.

Job Duties and Responsibilities:
- Organize and manage all logistical aspects of photoshoots, including booking locations, models, hair and makeup artists, and equipment rentals.
- Maintain accurate records of photoshoot schedules, contracts, invoices, and other administrative documents.
- Serve as the primary point of contact for photoshoot inquiries and correspondence, both internally and externally.
- Assist in budget management by tracking expenses, processing payments, and reconciling invoices.
- Provide administrative support to the photoshoot team, including scheduling meetings, arranging travel, and handling other ad hoc tasks as needed.
- Proactively identify and address any issues or challenges that may arise during the photoshoot process, ensuring timely resolution and minimal disruption.
- Collaborate closely with our internal merchandise team to procure and prepare samples for photoshoots.
- Manage & upload all photoshoot images, ensuring easy access and retrieval for future use.
Requirements:
- Previous experience in an administrative role, preferably in a creative or photography-related field.
- Excellent organizational and multitasking abilities, with a keen eye for detail.
- Strong communication and interpersonal skills, with the ability to collaborate effectively with team members and external partners.
- A proactive and adaptable attitude, with the ability to thrive in a fast-paced environment.
- Strong time management skills, must be able to multitask, manage multiple projects, and meet tight deadlines
- Experience using Excel, Gmail, and Google Docs/Sheets.
Nice to Haves:
- 1-2 years of experience with another E-commerce fashion brand
- Experience using Airtable, Capcut, and project management software
- Photo/Video Editing Experience
Physical Demands:
- Must be able to work in our Anaheim, CA office 3-4 days a week.
