ADMINISTRATIVE ASSISTANT, BIORAY®

An Administrative Assistant is responsible for managing daily office tasks, including scheduling appointments, handling correspondence, and organizing files to ensure smooth operations. They also support executives and staff by preparing documents, taking inbound calls, and coordinating meetings and events.
For the right individual, this role offers strong growth potential within the organization. This is a full-time (M-F), hourly position that resides in BIORAY’S corporate headquarters in Irvine, CA (not a remote or hybrid role). The base hourly range for this role is between $50,000 and $60,000, dependent upon experience, skill sets and capabilities.

JOB RESPONSIBILITIES
Office Management:
- Manage office supplies and ensure adequate stock levels.
- Handle incoming and outgoing mail and packages.
- Maintain a clean and organized office environment.
Administrative Support:
- Assist in scheduling and coordinating meetings, appointments, and travel arrangements.
- Prepare and edit documents, reports, and presentations as needed.
- Handle phone calls, emails, and inquiries, directing them to the appropriate individuals.
Data Entry and Record Keeping:
- Accurately input and update information in databases and spreadsheets.
- Maintain organized and up-to-date records, files, and documentation.
Communication:
- Serve as a point of contact between the team and external parties.
- Communicate effectively with team members to relay information and updates.
Calendar Management:
- Manage and update calendars for team members, scheduling appointments and events.
Meeting Support:
- Prepare meeting agendas, attend meetings, and take accurate minutes.
- Ensure meeting rooms are set up with the necessary materials and technology.
QUALIFICATIONS
- High school diploma required; additional education or certification in office administration is a plus.
- Prior experience in an administrative role is preferred.
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Attention to detail and accuracy in work.
- Ability to prioritize tasks and meet deadlines.
- Discretion in handling sensitive and confidential information.
- Experience with Zoho and Ring Central systems is a plus.
COMPENSATION & BENEFITS
- Base hourly rate is between $50,000 and $60,000 (position based in Irvine, CA)
