Position Summary: The Administrative Coordinator is an essential support role at the NBAA, dedicated to enhancing the effectiveness of book distribution organizations through strategic collaboration, resource sharing, and professional development. This position ensures operational consistency and effective communication to promote equal access to books for everyone, irrespective of income. The Administrative Coordinator reports directly to the Steering Committee of elected members via the President and/or Vice President, ensuring alignment with the organization’s strategic goals and operational needs. They attend Steering Commitee meetings, and work closely with the Executive Team and Working Group Host Leads via email and all levels of membership to sustain and build the organization and help sustain the book access as a profession.
Time Commitment: Up to 50 hours per month
Location: 100% Remote
Key Responsibilities:
- Membership Support (Events and Resources):
- Manage online enrollment and renewals of membership and all correspondence throughout the process in Wild Apricot.
- Coordinate monthly newsletter to help welcome new members with essential resources such as our resource hub, video archive, badge, and upcoming events.
- Collect information from the Membership Working group for bi-monthly networking sessions, and learning webinars and post in the event calendar, creating corresponding announcements and reminders.
- Coordinate at least four educational webinars and six networking sessions annually.
- Support additional website member benefit functions such as directory, maps, job board, and moderation of discussion board.
- Communications Support (External and Marketing):
- Support the Communications Working Group in annual goal of increasing membership.
- Update the website and post approved content to social media, and prepare and distribute external newsletters and other communications as needed.
- Conference Support (Annual Virtual Conference):
- Assist the Working Group in planning and organizing the annual conference, including logistics and attendee communication.
- Manage conference announcements, registrations, reminders, and related updates.
- Administrative Operations:
- Coordinate Steering Committee meetings as requested, including sending reminders and posting minutes.
- Attend Quarterly Steering Committee meetings.
- Support Working Group meetings as requested, including sending reminders and collecting and posting minutes. Attend as requested.
- Collect minutes for meetings and maintain organized and accessible records and documents via Google Drive.
- Manage positional emails and shared Zoom account.
- Finance & Fundraising Support:
- Assist in executing and recording financial transactions and in collaboration with the Treasurer and fiscal sponsor.
- Assist in collecting and stewarding donations and sponsorships, fostering positive relations and ongoing support.
- Support the organization's growth from 300 to 1000 members.
Core Competencies and Qualifications:
- Attention to Detail: High level of accuracy in all tasks.
- Process and Time Management: Strong organizational skills with the ability to prioritize effectively.
- Project Management Experience: Proficient with Microsoft Office, Google Workspace for Business, Zoom, and particularly Wild Apricot.
- Remote Coordination Skills: Experienced in managing multiple projects simultaneously in a remote environment.
- Interpersonal and Communication Skills: Excellent communication skills, both verbal and written.
- Passion for Literacy and Mission-Driven: Committed to the mission of promoting literacy and equal access to books.
- Self-Motivation: Capable of working independently and initiating tasks without direct supervision.
- While current members are welcome to apply, candidates cannot hold active membership and a paid position concurrently.
Position Details:
- Compensation: Negotiable, $20 - $50 hour depending on experience, with a cap of $1,000/month.
- Contract Type: This is a month-to-month contract position. Must provide own equipment and work environment.
- Fiscal Sponsorship: NBAA is a fiscal sponsor of First Book. Must be based in the United States.
