Miami-based executive looking for a personal, remote assistant. We’re looking for someone who is comfortable handling the day-to-day life of an executive. Tasks will range from coordinating with home contractors to helping prepare for high-profile meetings. Pay rate is between $25/hr and $45/hr, depending on location and level of experience. We would like to start at a part time rate - between 10 and 20 hours a week. If things go well, full-time would be a valid opportunity. It’s likely that the executive will pursue his own venture in the future, so growth opportunity is inevitable.
The ideal candidate will either be a driven, recent graduate who is interested in mentorship, a working professional who is interested in a part-time opportunity, or a seasoned executive assistant who currently manages other clients. We are open and willing to hear out anyone who is interested. This job mainly requires working one-on-one with the executive, so a personality alignment is key. Above all, we need someone who can proactively anticipate the client’s needs.
Key Responsibilities
- Coordinate personal tasks such as: planning vacations, buying gifts for loved ones, coordinating business trips, arranging airport pickup/drop offs, and finding on site home services such as plumbers and maid services.
- Organize curated dinners in different cities around the United States. This would mainly encompass contacting high-level contacts.
- Plan and manage key meetings to help further the executive’s business interests. This includes the full cycle, everything from scheduling the meeting to preparing presentation materials.
- Handle personal administrative coordination, including scheduling personal services and meetings with financial advisors, business partners, potential investors, etc.
- Serve as the primary contact for any household coordination including deliveries, renovations, and appointments.
- Spearhead initiatives and help lay the groundwork in administrative tasks related to future business ventures.
- Full-scale calendar management - proactively scheduling and moving appointments around when necessary.
- Email management and triage.
Key Qualifications
- 3 or more years of experience in an administrative role reporting directly to upper management.
- Flexibility throughout the day to complete assigned tasks.
- Excellent written and verbal communication skills.
- An interest and drive to grow.
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Flexible team player, willing to adapt to changes and unafraid of challenges.
- Ability to maintain confidentiality of information related to the executive.
