Once completed, the facility will be the most advanced, and environmentally efficient of its kind in the United States. It will feature the most advanced technology available on the market for capturing emissions and preserving the community's air quality and natural resources.
Who We Are Looking For / Requirements
Our client seeks a dedicated Document Controller to join their dynamic project team. In this pivotal role, you will maintain, organize, and distribute all project documents and records, ensuring accuracy and timely delivery to relevant stakeholders. Your expertise in Procore, Documentum, Box, or AODocs will be crucial as you implement procedures to keep documents transparent, up-to-date, and easily traceable.
Key components we are looking for
Knowledge / Skills / Abilities
- Minimum 5 years of experience as a document control professional
- Experience with Procore or Documentum, Box, AODocs, and Google Workspace.
What You Will Do / Responsibilities
In this highly visible role, you’ll be responsible for:
- Maintain project documents and records. Ensure accurate information is distributed throughout the project team, on time, and to the people who need it.
- Responsibilities include compiling contracts, archiving files, and ensuring all team members can access necessary documentation. Additionally, implement procedures to maintain transparent, up-to-date, and easily traceable documents.
- Controlling project documentation; Following and improving document control procedures. Review and update technical documents; File documents in physical and digital records.
- Manage the flow of documentation within the project team;
- Proficient in Google Docs ProCore or AO Docs. Updating and maintaining document management systems and physical records.
- Ensuring the secure destruction and disposal of sensitive documents.
- Reporting errors or developments regarding document storage.
- Controlling the flow of documents in and out of the project.
- Maintain confidentiality around sensitive information and terms of agreement.
- Create templates for future use.
- Check for accuracy and edit files.
- Ensure documents are shared at critical times to facilitate timely project completion.
- Using software or physical systems to distribute documents.
- Conducting regular reviews and document audits.
- Producing document progress reports.
- Maintain accurate records of document receipt and issue. Where action is required within a prescribed period, monitor and ensure timely responses to issues.
- Sorting, storing, and retrieving electronic and hard copy documents for the project team.
- Ensuring all documentation meets formal requirements and required standards.
Per diem applies. Works on-site for 3 weeks and one week remotely. (40-60 hours a week)
