Summary of Position:
This position provides administrative support for a small office of 10 people in West Los Angeles handling a mix of Finance, Operations and general office tasks. Position reports directly to the Operations Manager but also assists the Financial Controller and other DCDC executives as needed. Position requires strong organizational and computer/spreadsheet skills. Must be able to intelligently evaluate issues and exercise excellent judgment.
Essential Duties and Responsibilities
· Maintain general day-to-day office needs, such as supplies, mail, checks, deliveries, etc., including scanning mails to file and uploading checks to the banking website.
· Oversee office communications: greeting guests, sorting mail, general email inbox and answering phone calls. Directing calls and messages to appropriate team members.
· Data entry into Netsuite, ensuring all customer contacts, asset information, and vendor invoices are up to date and ready for the Finance Team to process.
· Process reports on past due notices and liaise with the Finance Team on invoices/credit memos relating to past due notices.
· Provide administrative support to organization executives including email correspondence, scheduling and generation of reports, memos, spreadsheets, etc. Support in projects and presentation creation for the organization staff. Make reservations or order food delivery for special occasions such as CinemaCon and Board meetings.
· Ensure optimal use of office equipment, supplies and inventories through preventative maintenance and ordering. Maintaining and improving the overall office condition.
· Arranging necessary repairs and liaising with office vendors including building management.
· Coordination with IT vendor and general support in IT management needs of the organization.
· Support in maintaining the company website/LinkedIn, customer outreach efforts, marketing materials and projects.
· Interface with high level studio, production, exhibition and service provider staff. Handle confidential information.
· Planning and coordination of all in-house or off-site activities for the organization.
· Work independently and with other staff on ongoing and special projects, and be willing to pitch-in to “get the job done” no matter what.
Qualifications:
Education and Experience:
· College degree required
· 2-5 years of administrative experience preferred
· Previous studio or entertainment related experience a plus
Knowledge/Skills:
· Proficient with MS Office skills (MS Outlook, Excel, Teams, and PowerPoint)
· Excellent written and verbal communication skills
· Strong time management skills and multi-tasking ability
· Comfortable handling confidential information
· Experience developing internal processes and filing systems
· Problem solving ability and initiative
· Strong team orientation and interpersonal skills
· Independent self starter
