We are looking for candidates to fill our Administrative Specialist position.
This is a fast- paced dynamic position requiring strong documentation and computer communication skills. The roles and responsibilities include but are not limited to the following:
Scope:
- Assist with employee onboarding. Process and assist new hires through Kilo’s onboarding process, coordinate new employee drug screening and background checks.
- Ensure new hires obtain the external and internal training required for employment at the company. o Ensure new hires obtain the appropriate PPE required for field work.
- Assist with Materials orders. Assist procurement staff with orders of materials for ongoing OPEX and CAPEX work in the field.
- Create Purchase Orders in QuickBooks, send to field rep and vendor, ensure vendor bill/receipt and PO match, address discrepancies.
- Assist with order tracking and materials deliveries. Time flexibility as these orders happen at a moment’s notice.
- Assist with field ticket processing. Review daily field tickets from Field Technician’s and ensure completeness and thoroughness.
- Maintain and update company databases. Match our Kilo App to QuickBooks as well as updating our Drive.
- Organization of all Documents and Records.
- Arrange travel and accommodations. These accommodations may be at a moment's notice.
- Troubleshooting Multiple Project issue as they arise.
- Reaching out to Field Supervisors for information. Comparing and verifying project Documents
Skills/Requirements:
- Strong background with QuickBooks Desktop Enterprise preferred.
- Strong background with Microsoft Office apps.
- Excellent time management skills and ability to multitask and prioritize work.
- Attention to detail and problem-solving skills.
- Ability to work independently with minimal Supervision and as part of a team.
- Strong technology background (Computers, apps, software, etc. As we work on multiple platforms).
