Position Summary:
Seeking an experienced, competent, and caring person to oversee all the marketing, administrative and operational procedures of Legacy Builders Financial: a financial services firm.
Responsibilities:
Organizational Structure
- Administrative Management –
- Assists the Financial Advisor so that he can focus on the clients’ planning and implementations
- Builds organizational structures/systems to benefit job performance and financial representative’s effectiveness maintaining client relationships.
- Develops organizational and administrative processes and procedures for effectiveness
- Embrace technology and striving to incorporate electronic methods of organization, communication, and file management
· Data Entry and Record Keeping:
o Gathers and updates all contact notes and important data in databases or software systems
o Keeps track of results & evaluate performance measurements (create best practices when needed)
o Handling customer service issues with the back offices and follow-up to track completion (Clientink)
· Marketing & Communication:
o Telemarketing to Prudential leads to set up appointments for the financial representative
o Client outreach for annual client reviews, updates, and marketing opportunities
o Updates to Social Media weekly through Hearsay software system
o Follow-up emails and additional information sent to clients
o Send cards; appt follow-up, birthday, anniversary, sympathy, etc.
o Marketing, promotion and correspondence creation
o Phone calls, emails, and other communication retrieval, division,and tracking the follow-up
o Event planning for educational seminars and client social events
o Phone calls, emails, and other communication, as deemed necessary for maintaining good customer relationships
Qualifications and Experiences:
- Administratively gifted in organizational leadership and administrative management
· Leadership and management skills with an ability to organize tasks and achieve goals set
· Excellent relationship building skills; especially through telemarketing and through email communication.
· Relationship management skills and experience in fostering a team approach
· Competencies and people-skills, with a high degree of flexibility in working with various types of people.
· Exemplary project management and planning skills
· Outstanding written and verbal communication skills
- Extremely strong computer and software skills; a comfortable working knowledge of Microsoft Word & Excel
· High level of self-determination and initiative; truly highly motivated to achieve objectives

· Two to four years of business experience needed, preferably in an administrative capacity.
Salary and Benefits:
$12-$17/hour – 20 - 30 hours weekly (any additional hours over 30 must be pre-approved and no hours beyond 40)
