The Jan Richey Team is looking for a full-time Operations Coordinator. This is an excellent opportunity to join a successful real estate group and become an integral part of an amazing team dynamic.
As the Operations Coordinator, you will play an important role in the organization by providing a broad range of communication to ensure upcoming listings and day-to-day tasks stay on target. A successful candidate will have exceptional written and verbal communication skills, along with incredible attention to detail. Skills to interact positively with clients are critical. You must be a problem solver, proactive, and able to anticipate what is coming next, and be ready to take care of those issues and items.
- Full-time (Monday through Friday 9:00am to 5:00pm, occasional Saturday tasks could be required).
- Organization, positive attitude, polished, professional, creative, team player.
- The natural ability to prioritize daily tasks with minimal direction and multi-task is key in this position.
- Work with the Team Manager to coordinate day-to-day activities.
- Supervision of gathering of all information required for new listings. Processing of all new listings including:
Preparing listing paperwork package and presentation binders for the initial listing appointment.
Speaking with Sellers and making an in-person appointment to meet the sellers at the property to gather all information needed to proceed with listing the property.
Coordinating appointments with Sellers, Stager and Photographer.
Writing detailed property descriptions for marketing, social media posts and postcard mailing purposes.
Reviewing and preparing photography for the listing.
Inputting the listing into the MLS system, Showing Time, janrichey.com and various websites.
Preparing and ordering property brochures.
Preparing, processing and submitting necessary paperwork to Keller Williams compliance system (Command).
Maintenance of existing listings including price adjustments, extensions and terminations.
Maintaining property brochure supply at listings.
Responsible for overseeing property video production including preparing script for team member(s), interaction with team members and videographer on site.
- Assist Team Manager with contract-to-close processes.
- Attend Team Meetings and perform tasks associated with it and its preparation.
- Prepare, update and maintain all lists and forms used by the Team.
- Assist with print media, including miscellaneous mailers and postcards.
- Assist Team Members (Sales Agents) with day-to-day tasks of clerical items.
- Coordinate, schedule and post Open Houses. Prepare Open House packages for Sales Agents.
- Assist with collecting feedback from agents who have shown our listings.
- Some errand running will be necessary in relation to listings.
Qualifications
A Texas real estate license is required.
Minimum of 5 years of experience in the real estate industry or previous position in operations role. Keller Williams Realty association preferred.
Proficient in MLS system (inputting listings, managements of listings and search functions).
Proficient in MS Office products (Excel, Word, MS Outlook), Docusign, Keynote, Canva, Mail Chimp.
Knowledge of computer hardware and software and office equipment.
