Description
Mandarin Reception and Visitor Management:
- Welcome and greet visitors or clients, directing them to register in the iLobby system, then escort them to the appropriate meeting rooms or contact the relevant personnel.
- Maintain the visitor log and ensure all visitor information is accurately recorded.
- Provide suitable beverages or refreshments for waiting guests or meeting attendees.
- Phone Handling and Call Transfer: (once the phone system is set up)
- Answer, screen, and transfer incoming and outgoing calls, ensuring information is accurately communicated to the relevant parties.
- Handle daily phone inquiries, providing basic information or guidance as needed.
- Mail and Courier Management:
- Receive, sort, and dispatch internal and external mail and courier packages. Respond to the parcel shipper upon request.
- Log and monitor the receipt of important documents and packages.
- Clerical and Administrative Support:
- Perform daily clerical tasks such as photocopying, printing, scanning, and filing documents.
- Aid in preparing and organizing meeting materials, reports, and contact lists.
- Meeting Coordination:
- Help organize and coordinate company meetings, including booking meeting rooms, issuing meeting notices, and preparing meeting materials.
- Check that meeting room facilities, like projectors and audio equipment, are in working order.
- Clean up the meeting room promptly after use to ensure it is always ready for the next meeting.
- Office Maintenance and Supplies Management:
- Keep the front desk and all office areas tidy and organized.
- Establish a daily cleaning schedule, inspect the results, and sign off on the inspection checklist to confirm the cleanliness status. Train new janitors on their first day.

Requirements
Bilingual in Mandarin
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Skilled in data entry and database maintenance.
- Exceptional customer service abilities with experience in customer interaction roles.
- Professional handling of both inbound and outbound calls.
- Adept at scheduling appointments and calendar management.
- Strong written communication abilities, particularly for email correspondence.
- Competent in multitasking and prioritizing tasks efficiently.
- Meticulous attention to detail and precision in task execution.
- Capable of working autonomously and collaboratively within a team.
- Excellent organizational skills with the capacity to handle several tasks simultaneously.
