Role Description
This is a full-time on-site role for an Office Administrator at Beacon Fire Protection in Austin, TX. The Office Administrator will be responsible for providing administrative assistance, maintaining phone etiquette, facilitating communication, and offering executive administrative assistance. The role will also involve using clerical skills to support daily operations and ensure efficient workflow.
Essential Duties
- Coordinate and implement general office services such as appointment-setting, records control, and other administrative activities.
- Assist with special events planning.
- Operate personal computer to access e-mail, electronic calendars, and other basic office support software.
- Use various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports.
- Prepare purchase orders and send copies to suppliers and to departments originating requests.
- Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
- Respond to customer and supplier inquiries about job status, changes, or cancellations.
- Contact employees, clients, suppliers, inspectors, and others to schedule or expedite jobs, resolve material shortages, missed or late deliveries, and other problems.
- Prepare, maintain, and review purchasing files, reports, and price lists.
- Compare prices, specifications, and delivery dates to determine the best bid among potential suppliers.
- Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
- Maintain knowledge of all organizational and governmental rules affecting jobs and purchases and provide information about these rules to organization staff members and to vendors.
- Exercise administrative judgment and assume responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area.
Qualifications
- Excellent phone etiquette and communication skills
- Experience in executive administrative assistance
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office Suite
- Able to perform bookkeeping and account receivable collections
- QuickBooks skills a plus.
- Attention to detail and accuracy
- Ability to maintain confidentiality and professionalism
- High school diploma or GED (Two years college or equivalent work experience preferred)
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- Three years of related experience or relevant coursework.
- Ability to exchange non-routine information using tact and persuasion as appropriate.
- Good oral and written communication skills.
