Loftin serves Southwest Ontario and beyond with strategic construction management services. We are looking to hire a Project Coordinator to join Loftin’s growing team!
The Project Coordinator plays a key role in supporting our Project Managers, Senior Project Managers and Site Supervisors. Your responsibilities will include a mix of administrative and project management tasks, ensuring that our construction projects are completed efficiently and effectively. This position is perfect for junior-level staff looking to gain experience and grow in the field of construction project management.
Key Responsibilities
- Project Administration: Assist in preparing and maintaining project documentation, including contracts, budgets, and schedules. Ensure all project files are up-to-date and comply with company standards.
- Communication and Coordination: Serve as a liaison between project managers, clients, and onsite teams. Coordinate meetings, prepare meeting agendas and minutes, and communicate relevant project information to all stakeholders.
- Scheduling and Planning: Assist in developing and tracking project timelines. Coordinate with vendors and subcontractors to ensure timely delivery of materials and services.
- Quality Control: Monitor project progress and report any issues or delays to the Project Manager. Assist in ensuring that all work meets the required quality standards and safety regulations.
- Financial Assistance: Help manage project budgets by tracking expenses, processing invoices, and preparing financial reports.
- Onsite Support: Occasionally visit project sites to monitor progress, attend site meetings, and provide assistance as needed.
- Continuous Improvement: Participate in project review meetings and contribute ideas for improving project management processes and procedures.
Qualifications
- Diploma or degree in Construction Management, Civil Engineering, or a related field.
- 1-2 years of experience in the construction industry, preferably in a coordinating role.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Fast-learner with proven experience taking initiative.
- Proficient in Microsoft Office Suite and familiarity with project management software.
- Ability to work effectively in a team and independently.
- Knowledge of construction processes, safety standards, and relevant regulations in Ontario.
Safety Requirements
- Weekly - Site inspection & notify Site Super of any safety concerns.
- Weekly – Follow up with site personnel for resolution of any safety deficiencies.
- Weekly – Ensure site toolbox talks are happening & being documented.
- Monthly – Ensure JHSC meetings are being held & minuted.
- As needed - Incident Reports – Ensure WSIB and MOL are notified as required.
Quality Control Requirements
- Ensure scope of work & instruction to bidder documents are as detailed as possible and reference quality standards.
- Ensure subcontracts are as detailed as possible and reference quality standards.
- Weekly – Review deficiency list and follow up on aged/urgent items.
- Monthly – Adjust subcontractor billings to account for deficient items.
- As needed – Prepare notice of default to subcontractors whose deficiencies are affecting the project schedule.
- As needed – Coordinate Municipal, Consultant, 3rd Party Specialists for inspections and reports to support Project Closeout or subcontractor dispute resolution.
