We are seeking a reliable and organized Administrative Assistant to join our team. The Administrative Assistant will provide administrative support to ensure efficient operation of the office. Roles And Responsibilities - Calendar Management:
- Manage and coordinate executive calendars, scheduling appointments, meetings, and events.
- Anticipate scheduling conflicts and proactively resolve them.
- Communication Management:
- Serve as the first point of contact for internal and external stakeholders, managing phone calls, emails, and inquiries.
- Draft and proofread correspondence, emails, memos, and reports.
- Meeting and Event Coordination:
- Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing materials.
- Arrange logistics for meetings, conferences, and travel arrangements.
- Document Preparation and Management:
- Prepare and edit documents, presentations, and reports as needed.
- Maintain filing systems, both electronic and physical, ensuring accuracy and accessibility.
- Office Operations Support:
- Assist with office management tasks such as ordering supplies, maintaining inventory, and overseeing office maintenance.
- Handle basic accounting tasks such as processing expenses and invoices.
- Customer Service and Support:
- Assist in responding to customer inquiries and resolving issues in a timely and professional manner.
- Maintain positive relationships with clients, vendors, and suppliers.
- Data Entry and Record Keeping:
- Perform data entry tasks and maintain databases accurately.
- Organize and update files, records, and other documents as required.
- Administrative Projects and Support:
- Support executives and team members with administrative tasks and special projects as assigned.
- Conduct research and compile information as needed.
Skills And Qualifications
- High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary is a plus.
- X+ years of experience in an administrative role, preferably in a corporate environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills.
- Strong organizational and time management skills, with the ability to prioritize tasks.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
