We have an open position for a Client Service Coordinator who is sharp, long-term goal oriented, and wants to be an integral part of our future growth, as we strive to encourage and promote the qualified candidate’s short and long-term career goals.
Responsibilities and Daily Role Requirements
Provide tax, and administrative support to all staff including the following:
· Front Desk Representative - Answer phones/calendar management ( schedule meetings and calls)
· Suite Management – Order Supplies, maintain reception and waiting area, upkeep conference room and kitchen
· Understand and facilitate tax workflow process ensuring that extension and filing deadlines are met.
· Client Correspondence: composing letters, emails, and simple reports to clients
· Scanning, faxing, and filing of paper or electronic documents as well as returning client records
· Creating services Engagement Letters and electronic tax organizers/questionnaires for clients
· Preparing and emailing estimated payment vouchers to clients along with filing tax returns in Lacerte
· Reviewing, organizing, and checking client documents, including contacting clients for any missing information
· Printing and organizing paper returns for certified mailing
· Monitoring workflow to ensure projects are up to date, and will be completed by “promised” dates
· Prepare Power of Attorney forms, file with government entities, and track processing
· Review and distribution of IRS/FTB/BOE/EDD correspondence to appropriate staff
· Preparing final invoices when work completed and collecting payments/ company-wide collections
· Utilizing our Practice Management software to track client information, update project statuses, and support the timely completion of projects.
Qualifications and Skills- training included and increases with performance
· Minimum 7+ years’ experience (20+ preferred) in a professional office environment. CPA/Tax firm preferred
· CRM software experience helpful
· Proficient with office software such as Microsoft Office- Word, Excel, PowerPoint
· Sound knowledge of general administrative processes
· Professionalism, maturity, responsibility, initiative, accountability
· Determined work ethic / punctual / pro-active / has a meticulous attention to detail /
organized / self-motivated/ problem-solver/ solution oriented/ highly trustworthy
· Excellent verbal and written communication skills
