Job Description: Punta Brava Golf and Surf Club is seeking a highly organized and detail-oriented Gifting and Office Manager to manage all aspects of our member gifting program and office operations. This dual-role position requires someone who can handle administrative tasks with efficiency while ensuring our members receive exceptional and personalized gifts in a timely and efficient manner. The successful candidate will work closely with internal teams and external vendors to create a seamless and memorable gifting experience for our members.
Key Responsibilities:
Gift Management:
- Oversee the progress of gifts, including tracking the status with vendors and coordinating deliveries to members.
- Report directly to the VP of Membership for all matters regarding gifting, minimizing the involvement of the Founder to allow focus on strategic operations.
- Ensure that all gifts are of high quality and align with the club's brand and member preferences.
Scheduling and Planning:
- Develop and maintain a comprehensive gift delivery schedule, ensuring timely deliveries throughout the year.
- Collaborate with internal teams and vendors to establish and maintain the gift delivery timeline.
Gift Preparation and Packaging:
- Prepare, assemble, and package gifts in the Coronado office, ensuring high presentation standards and personalization.
- Coordinate offsite gift preparation and packaging activities as needed.
Gift Delivery Prioritization:
- Develop a prioritization system for gift deliveries based on member preferences, special occasions, and club events.
- Continuously refine and improve the prioritization process to enhance the member experience.
Gift Tracking and Historical Data:
- Maintain accurate records of all gifts sent to members, including dates, contents, and preferences.
- Use historical data to inform future gifting strategies and ensure constant member engagement.
Office Management:
- Oversee day-to-day office operations, including supply management, organizing meals and administrative support.
- Ensure a well-organized and efficient office environment to support office headquarters operations.
Objective Key Results 2024:
Manage the progress of gifts: Ensure 100% of gifts are tracked from vendors to delivery.
Coordinate with vendors and internal teams: Resolve any issues in a timely manner and report the status of gifts weekly to the Founder and Membership Team.
Create a gift delivery schedule: Develop a comprehensive schedule and automate the process where possible.
Prepare and package gifts: Maintain high standards of presentation and develop a reserve of gifts for immediate needs.
Prioritize gift delivery: Establish and refine a prioritization system for member preferences and club events.
Track and analyze historical gift data: Maintain accurate records and use the data to inform future strategies, briefing the team on major updates weekly.

Gift Packaging and Presentation: Ability to prepare, assemble, and package gifts to a high standard.
Scheduling and Planning: Demonstrated ability to create and maintain delivery schedules.
Industry Knowledge: Familiarity with the luxury hospitality or retail industry is a plus.
Additional Qualifications:
Strong Work Ethic: Commitment to achieving high standards.
College Educated: Background in hospitality, marketing or a related field.
Service Oriented: Excellent customer service skills.
Drivers license required. Global Entry/sentri Card preferred for travel convenience.
Presentation: Professional appearance and demeanor.
