Overview:
The Marketing & Operations Unpaid Intern at LvlUp Portfolio Company MNLY, a quickly-growing startup bringing precision men’s health to the public, provides essential support to the CEO and key executives at MNLY, managing administrative duties, overseeing marketing coordination, and facilitating event management. This role is crucial for maintaining the efficiency of the leadership team's operations and requires a high degree of professionalism, organizational acumen, and confidentiality.
Key Responsibilities:
Administrative Support:
- Manage calendars for the CEO and leadership team members, including scheduling meetings, appointments, and travel arrangements.
- Handle incoming and outgoing communications on behalf of the leadership team.
- Prepare, edit, and organize correspondence, communications, presentations, and other documents.
- Maintain and organize files, documents, and reference materials.
- Assist with the preparation of reports and financial data.
Marketing Coordination:
- Liaise with the marketing department to ensure alignment of schedules and communications.
- Assist with the planning and execution of marketing campaigns.
- Coordinate the preparation and distribution of marketing materials.
- Track, compile, and analyze marketing data to assist in strategy and planning sessions.
Event Management:
- Organize and coordinate internal and external events, including logistics, venue selection, vendor management, and attendee registration.
- Manage event budgets and ensure adherence to financial guidelines.
- Supervise on-site arrangements for all meetings and events; coordinate with staff and external contacts to ensure proper setup and execution.
- Document and follow up on important actions and decisions from meetings, and compile detailed reports post-event.
Meeting Coordination:
- Arrange and coordinate leadership and board meetings.
- Take accurate minutes and distribute meeting notes.
- Prepare agendas, provide background materials, and facilitate meetings.
Project Management Support:
- Provide project management support for special projects as directed by the leadership team.
- Monitor project schedules, timelines, and deliverables.
Confidentiality:
- Uphold a strict level of confidentiality and discretion in all dealings involving the leadership team and their operations.
Required Skills and Qualifications:
- Proven experience as an executive assistant or similar administrative role.
- Exceptional organizational skills
- Strong understanding of office management systems and procedures.
- Excellent knowledge of MS Office, especially Excel and PowerPoint.
- Strong organizational and planning skills.
- Ability to multitask and prioritize daily workload.
- Superior verbal and written communication skills.
- Bachelor's degree in business administration, communications, or related field.
