Marketing and Administrative Assistant

Overview:
Mentoring in Medicine & Science (MIMS), a respected nonprofit organization based in Oakland, California, seeks a skilled Part-Time Marketing and Administrative Assistant. This role is ideal for an experienced professional passionate about nonprofit work and looking to leverage their expertise in social media, marketing communications, and administrative support. This is a 6-month contract, with the possibility of extension or conversion to a full-time role based on performance and organizational needs. The role will report directly to the Executive Director.
Key Responsibilities:
Marketing Communications:
- Design and execute marketing communications and outreach strategies for various programs and initiatives.
- Oversee and update MIMS’ social media platforms (Twitter, Facebook, LinkedIn, Instagram) to maintain an active and cohesive brand presence.
- Assist in maintaining and enhancing the organization’s branding and visual identity.
- Draft and distribute press releases and create engaging content for newsletters.
- Manage and update the organizational website, ensuring content is current and relevant.
- Analyze social media metrics and generate performance reports to optimize strategies and campaigns.
- Collaborate with team members to ensure consistent messaging and branding across all platforms.
- Handle social media advertising campaigns, including budget management and performance tracking.
- Conduct market research to identify trends and opportunities for MIMS.
- Cultivate relationships with media contacts and coordinate media outreach efforts.
- Work with external partners, agencies, or influencers to enhance MIMS’ visibility and impact.
- Develop and publish content for blogs and articles that highlight MIMS’ achievements and impact.
- Plan and execute marketing initiatives for fundraising campaigns and special events.
- Monitor online feedback and engage with the community to foster positive interactions.
Administrative Support:
- Provide comprehensive administrative support to ensure smooth and efficient daily operations.
- Coordinate meetings, interviews, and events, including logistical arrangements and catering.
- Perform general administrative tasks such as drafting communications, taking meeting notes, managing mailings, and maintaining filing systems.
- Manage office and program supplies, troubleshoot technology issues, and oversee office upkeep.
- Support the board of directors by scheduling meetings and distributing materials.
- Ensure timely completion of participant surveys and assist in program evaluation and data management.
- Maintain and update contact lists and databases.
- Assist in the preparation of grant proposals and reports.
- Coordinate and support organizational programs, events, workshops, and special projects.
- Manage incoming communications and maintain digital and physical file organization.
- Assist in onboarding and training new staff or volunteers.
- Track grant deadlines and assist in maintaining compliance records.
- Develop and maintain standard operating procedures to improve organizational efficiency.
Skills and Requirements:
- Proven experience in social media management, marketing communications, and administrative support.
- Strong understanding of nonprofit organizations and their unique needs.
- Proficiency in MS Office Suite and Google Applications; experience with Constant Contact, Canva, and Salesforce preferred.
- Excellent writing, editing, and verbal communication skills.
- Strong organizational skills and ability to manage multiple tasks and priorities effectively.
- Demonstrated ability to work independently and take initiative.
