The Office Manager/Project Manager will develop and maintain processes to maintain efficient operations of a business and real estate valuation practice. The role requires attentive oversight of recurring administrative tasks and collaborating with employees of all levels. This position suits an organized professional with excellent communication skills.
Duties and Responsibilities:
- Develop and/or refine systems and processes to improve day-to-day administrative operations.
- Advise on the assignment of employees to new engagements, considering staff availability and experience.
- Manage new client engagement processes, including processing engagement letters, invoices, maintaining CRM log, and requesting and collecting client documents.
- Manage Accounts Receivable (A/R) and Accounts Payable (A/P).
- Oversee certain human resource functions, including onboarding new employees, assistance with the hiring process, payroll, health insurance, and retirement accounts.
- Check in with colleagues on at least a weekly basis to confirm the engagement status tracker is as up to date as possible.
- Note delays in engagement progress for senior management review.
- Track / estimate year-to-date employee productivity for use in performance reviews.
- Periodically refresh templates and marketing materials used by staff.
- Help develop and manage client relationships.
- Identify cost-saving / efficiency initiatives.
Qualifications and Requirements:
- Bachelor's degree preferred.
- General real estate industry experience preferred.
- Experience with Salesforce or HubSpot preferred.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency in Microsoft Office, specifically Word and Excel.
- Experience planning, executing, and monitoring operational initiatives.
- Demonstrated ability to lead teams and foster a positive work environment.
