We are hiring an Accounting and Admin Manager to lead our accounting and operations processes. This role involves overseeing finance functions such as managing cash flow, payroll, billing, generating reports, and leading office management and facility operations.
Key Responsibilities:
Finance and Accounting:
- Ensure timely financial transactions, including accounts payable and receivables, and make all payments promptly.
- Enter transaction information into project management and accounting software systems.
- Maintain accurate, organized, and current financial records and filing systems.
- Conduct mid-level general-ledger account reconciliations, verify data accuracy, and identify and correct errors.
- Support financial closes (monthly, quarterly, half-year, and year-end) with journal entries, balance sheet account reconciliations, accruals, and operational management account maintenance.
- Provide schedules and commentary for operational management account results and variances and produce working-capital cash-flow reports.
- Maintain and update records and reports for profit and loss, taxes, liabilities, and assets.
- Prepare special financial reports by collecting, analyzing, and summarizing account information and trends.
- Develop, document, and continuously update accounting policies.
- Assist in developing quarterly and annual budgets for all departments, aligning financial plans with strategic goals.
- Help manage company credit cards and expense reimbursement.
- Regularly report financial status and generate ad-hoc reports for company leadership to support decision-making processes.
Operations and Facilities Management:
- Manage warehouse and facilities staff; maintain best practices for safety, inventory, and shipping/receiving.
- Manage office food service, life support, and event planning.
- Manage repairs, access control, office furniture, office setups, and office relocations.
- Oversee facility bookings for internal and external stakeholders.
- Identify and implement internal process improvements and opportunities for cost reduction.
Qualifications:
- Proven experience in business operations and/or accounting roles.
- Proficiency in managing general ledger, accounts payable, and accounts receivable functions.
- Familiarity with modern accounting software and financial systems, especially QuickBooks.
- Exceptional attention to detail and the ability to meet tight deadlines.
Desired Characteristics:
- Ability to work successfully under pressure and adapt to change and complexity in dynamic environments.
- Broad and flexible toolkit of techniques for resolving complex, interdependent activities into manageable tasks.
- Experience in themed entertainment or project-based accounting using revenue recognition is a plus.
Job Type: Full-time
Salary: $70,000.00 - $100,000.00 per year (DOE)
Expected Hours: 40 – 50 per week
