What You Will Be Doing:
Finance & Payroll Support
· File Receipts once entered/verified
· Send PO and payment status reports every week keep
· Process Expense Reimbursements
· Communicate to PEO Partner Payroll the actual amounts to be paid
· Update PTO stats to inform resource planning
· Works with CPA to share relevant information and documents
· Potential to further expand this role to take on more responsibilities, including credit card reconciliation, making payments, QuickBooks tasks, collect W9s and 1099 reporting
Human Resources Support
· Familiar with the benefits offered
· Able to direct employees to the right resources within the PEO
· Schedules regular PEO visits into the office to update employees
· Communicates all hires, terms, and other status changes to PEO
· Employment eligibility verification
· Ensures that new benefits and policies are updated in our PEO system
· Unemployment claims admin
· Supports new Hire preparation: adding to outlook meetings and email groups, key fob for building entry, etc.
· Works with employees and attorney to supports H1B and similar VISA applications
· In-person support for new hires on the first day, as needed. Has responsibility for parts of the orientation and onboarding process
· Understand Foresight policies and procedures and can clearly communicate to employees
· Knowledge of employee relations and first point of contact for issues that arise
· Performs regular 1:1 HR meetings with team members and stay interviews, and reports back to management
· Works with employees and management during performance review cycles
Operations & Employee Engagement
· Manages relationship with external partners, including internet provider, IT support, phone provider; helps to troubleshoot any issues
· Maintains shared workstations to ensure every station has what is needed (cords, cables, mouse, screen, etc.) and purchase if necessary
· Efficient and well-structured filing on the server
· Collects mail on a weekly basis
· Fosters flexible & supportive work environment in regard to hybrid work and flexible hours, remote working support, etc.)
· Announces employee birthdays and anniversaries
· Ensures efficient running of the office, including maintenance of the space and the patio, communications with the landlord and the cleaner, OSHA compliance
· Stocks Coffee Bar, Supplies, Snacks, Drinks – keep inventory at optimal levels for in office work and meetings
· Helps design and then executes 2-3 company events per year
Ideally a Candidate Possesses:
· Excellent verbal and written communication skills
· Excellent organizational skills, task oriented and attention to detail
· Excellent time management skills with a proven ability to meet deadlines
· Strong collaborator
· Ability to prioritize tasks and to delegate them when appropriate
· Ability to function well in a high-paced environment
· Basic understanding of how to operate standard business equipment
· Proficient with Microsoft Office Suite or related software
· Associate degree in finance, administration or related field preferred, or equivalent experience
· At least three years of administrative/office experience required, with experience supporting Finance, Operations and HR functions
