We are seeking a highly organized and proactive Remote Office Manager to join the team and support general operations.
Position Overview: As a Remote Office Manager, you will play a crucial role in ensuring the smooth operation of our client's remote office environment. Your primary responsibilities will revolve around managing calendars and schedules for our team, facilitating effective communication, and supporting various administrative tasks. The ideal candidate is detail-oriented, tech-savvy, and capable of multitasking in a fast-paced virtual work environment.
Key Responsibilities:
Calendaring & Scheduling:
- Coordinate and manage executive and team calendars, including scheduling meetings, appointments, and events.
- Ensure optimal time management by resolving scheduling conflicts and adjusting appointments as necessary.
- Set up virtual meetings, webinars, and conference calls, including managing invitations and tracking responses.
- Company calendar ownership.
Administrative Support:
- Help with quote tracking and reaching out to ISP's for quotes.
- Licensing tracking / monitoring & true-ups.
- Monthly user audits.
- Help produce & send client communications (ie. company closed, outage alerts, PSA).
- Dropping off or picking up items at client locations (should not be often).
- Support the onboarding of new team members, including scheduling training and orientation sessions.
Qualifications:
- Proven experience as an Office Manager, Executive Assistant, or similar role, with a strong focus on calendaring and scheduling.
- Exceptional organizational and multitasking skills with keen attention to detail.
- Proficiency in calendar management tools (e.g., Microsoft Outlook) and virtual meeting platforms (e.g., Microsoft Teams).
- Excellent written and verbal communication skills.
- Ability to work independently and manage time effectively in a remote work environment.
- Tech-savvy with a good understanding of office software and digital collaboration tools.
- High level of professionalism and discretion in handling confidential information.
