Pay Range: $52,000+ Competitive and Commensurate with Experience
Schedule-ON SITE: Monday to Friday (8 hours/day)
About: The Ashmore Law Firm is a boutique firm, well-established in Dallas, TX with areas of practice including Probate and Estate Planning, Family Law, Civil Litigation, and Personal Injury, and currently looking for an in-office ExecutiveAdministrative Assistant. This position will provide skilled, professional administrative support to a managing attorney in tasks such as managing schedules, handling correspondence, organizing meetings, and maintaining records, ensuring smooth operations and effective communication with clients, vendors, and within the organization. Reports to: Managing Attorney
Administrative Support Responsibilities:
· Act as the point of contact between the managing attorney and internal/external clients
· Undertake the tasks of receiving calls, taking messages and routing correspondence
· Handle requests and queries appropriately
· Maintain schedule, notes and follow-up to arranged meetings and appointments and provide reminders to all parties including managing attorney as well as clients
· Take notes, transcribe and document communications and accurately enter data into records, files and/or CRM
· Produce reports, presentations, and briefs
· Develop and carry out efficient documentation with filing system/hardcopy & electronic
· Create various forms for effective correspondence, and perform data entry and general administrative tasks, such as copying, organizing, and scanning of documents.
· Manage social media accounts and interactions for managing attorney
· Receptionist lunch support: responsible for answering multiline phones, routing calls to appropriate offices, and taking down messages, as well as inputting information into the client database.
· Greet visitors and clients scheduled in the office for appointments and maintain client confidentiality.
Requirements and skills
· Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other administrative support position
· Full comprehension of office management systems and procedures
· Excellent knowledge of MS Office
· Proficiency in English
· Exemplary planning and time management skills
· Strong organizational skills
· Up-to-date with advancements in office gadgets and applications
· Ability to multitask and prioritize daily workload
· High-level verbal and written communication skills
· Discretion and confidentiality
· Bachelor’s Degree in business administration, communications, or public relations; additional qualification as a personal assistant would be considered an advantage
