Job Title: Purchasing Assistant
Location: Houston, TX/hybrid
Reports To: Corporate Controller with dotted line reporting to business unit leader
Summary
The Purchasing Assistant will perform purchasing functions in a shared service environment.
Essential Responsibilities and Duties:
· Acts as an authorized agent for one or several operating companies to procure goods or services with suppliers.
· Reviews, approves, and processes requisitions in a timely manner in compliance with established purchasing procedures.
· Issue RFQs
· Communicate with internal customers, coordinate with warehouse team members and suppliers
· Resolves open purchase orders (POs)
· Understand our Bay Towing and Michigan Peat subsidiaries chart of accounts to verify/assign general ledger (GL) codes on purchasing documents.
· PO system maintenance
· Creates POs
· Assists with documentation and invoices.
· Assists Purchasing Manager with accounting month end closing.
· Coordinate new vendor set up.
· Other duties as assigned
Qualifications: A successful candidate must be able to perform the above duties satisfactorily. The requirements listed below are representative of the knowledge, skill, and or ability required.
Education and/or Experience: B.A. in business, supply chain management or accounting and 1-2 years of purchasing experience or, or 4+ years of purchasing experience. Marine / maritime purchasing experience preferred. Purchasing certification or technical training a plus.
Language Skills: Ability to read, analyze, and interpret technical business periodicals and technical procedures. The ability to speak clearly and create quality written communications.
Mathematical Skills: Ability to calculate figures and amounts; such as percentages, volume, discounts, interests and commissions.
Reasoning Ability: Ability to collect data, define problems, and provide valid suggestions for improvement.
Other: Must have ability to learn new systems, processes and procedures. Must have PC and software knowledge (Excel, Power Point, Outlook, Word, etc.) Experience using copiers, scanners, and telephones. Candidate must be flexible to work alone or a part of a team under pressure of deadlines.
Physical demands: Candidate is required to regularly talk and hear while communicating with vendors and coworkers by telephone and in person. Occasionally required to lift/or move equipment, office products, etc. Specific vision abilities required by this job include close vision, peripheral vision, and ability to adjust focus while entering data, answering phones and monitoring office environment.
