Role Description
We are seeking a full-time, on-site Receptionist/Administrative Assistant. In this role, you will answer phone calls, assist with various office tasks, and provide essential administrative support to the team. Responsibilities include:
Phone and Client Management:
- Answer and screen phone calls.
- Greet and assist clients professionally.
- Handle simple client inquiries, set up appointments, and gather required documentation.
- Return calls on behalf of agents with their guidance.
Administrative Support:
- Enter medication information into the database and relay details to agents.
- Process and record applications, including:
- Data entry (electronic and paper).
- Scanning and emailing documents to carriers.
- Updating sales spreadsheet and client records in CRM database.
- Checking application statuses and following up with clients about their enrollment and ID cards.
- Manage bulk mail projects, including birthday cards, Christmas cards, and marketing mailings.
Office Maintenance:
- Organize and maintain office supplies, enrollment kits, and the kitchen area.
- Keep the literature closet orderly.
- Assist with general office tasks.
Qualifications
- Strong phone etiquette and communication skills.
- 2+ years of office experience preferred.
- Previous experience in customer service or administrative support roles.
- Good organizational skills.
- Ability to handle confidential information with integrity.
- Experience with CRM software is a plus.
- Proficient typing skills with good grammar and attention to detail.
- Ability to multi-task with patience and a positive attitude.
- Willingness to learn new software.
- Ability to work independently with initiative, discretion, and confidentiality.
- Dependable and punctual.
