We are offering a contract-to-permanent employment opportunity for an Office Coordinator in Pacific Palisades, California. The role involves overseeing administrative tasks and customer service processes, contributing to the efficient daily operations of our team. Responsibilities:
- Ensure detail oriented and friendly customer service, embracing the company's core values.
- Maintain organized filing systems and oversee office upkeep.
- Greet clients and visitors whilst promoting teamwork and collaboration.
- Monitor and order office/kitchen supplies and manage vendor relationships.
- Assist departments with various administrative tasks including calls, correspondence, scheduling, and accounting.
- Distribute mail/packages and set up meetings.
- Exhibit excellent phone and email etiquette, supporting both internal and external parties.
- Maintain a service-oriented approach with top customer service and logical problem-solving skills.
- Proactively take on challenges, demonstrating reliability and dependability.
- Utilize Microsoft Office Suite for various tasks and maintain strong organizational and multitasking skills.
Requirements
- Must have at least 3 years of experience in a similar role or in the field of administrative assistance
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
- Experience in answering inbound calls, providing customer service, and handling both inbound and outbound calls
- Proven ability to schedule appointments and manage calendars effectively
- Strong data entry skills and experience in email correspondence
- Excellent verbal and written communication skills
- Strong organizational skills and the ability to multitask effectively
- Exceptional attention to detail and problem-solving skills
- Ability to work independently and as part of a team
- Demonstrated professionalism and discretion in handling confidential information
- High school diploma or equivalent required; additional qualifications in Office Administration are a plus.
