On behalf of our client Eaton Drilling we are seeking an experienced Payroll and Benefits Coordinator in Woodland, CA.
Overview: The Payroll and Benefits Coordinator should be detail oriented, able to manage confidential information and can work in a diverse environment and who can meet the increasing demands for precise and timely payroll management. Reporting to the Controller, this pivotal role requires a solutions-driven individual with a team-oriented mindset. The ideal candidate will possess a strong understanding of payroll intricacies, prevailing wage (must-have) regulations, labor reporting, ensuring accuracy while managing various payroll aspects as well as understanding and experience in benefits management. The duties will involve helping team members enroll in and access their insurance coverage including, but not limited to medical, dental, vision and life. Other tasks include explaining retirement plan options and tracking payroll data, including PTO and sick leave.
Roles and Responsibilities:
Payroll:
- Thoroughly review and manage weekly timecards, ensuring accuracy
- Correspond directly with crew and supervisors to resolve payroll issues and secure necessary approvals, while staying aligned with company policies and overtime regulations.
- Approve various forms of time off (vacation, sick pay, etc.), demonstrating an understanding of payroll regulations and company policies.
- Demonstrate expertise in managing payroll intricacies by overseeing calculations and procedures related to child support, court-ordered debt garnishments, vehicle allowances, payroll advances, reimbursements, and reconciliations.
- Proficiently utilizing PayChex Software a plus
- Assist employees with payroll-related inquiries and provide excellent customer service, answer employee questions or concerns
Benefits:
- Administer employee benefits programs, including health insurance, retirement plans, and other benefits.
- Coordinate annual open enrollment and assist employees with benefits selections.
- Assist benefits enrollment, changes, and terminations.
- Assist employees to enroll in benefits plans, explain benefits to new hires, and resolve issues with insurance providers. This includes processing payroll deductions for benefits, conducting meetings with employees, and monitoring insurance claims. The coordinator should also verify all insurance billing, maintain employee database and files, and ensure compliance with required benefit notices.
Employee Onboarding:
- Facilitate new hire onboarding processes.
- Prepare and distribute onboarding materials and explain payroll and benefits information.
Compliance and Reporting:
- Prepare and submit required reports to government agencies, contractors and unions
- Assist with internal and external audits and respond to inquiries from regulatory agencies.
- Conform to all applicable HIPPA compliance and policies.
- Run standard reports and perform ad hoc reporting as requested.
- Administer various employee benefits programs such as health, dental, vision, life insurance, and retirement plans.
- Maintain benefits records and documents, ensuring compliance with applicable laws and policies.

Education:
- Bachelor’s degree preferred
Experience:
- Two to five years previous Human Resource Generalist experience, concentration on payroll and benefits
- Demonstrated success and desire to excel in a fast-paced environment is necessary.
- Strong skills in Windows and Microsoft Office are essential
