Job Summary:
The Administrative Assistant I is responsible for providing basic administrative support to a department, team, or executive. This position involves performing routine clerical and administrative functions such as answering phones, managing files, scheduling appointments, and coordinating meetings. The Administrative Assistant I ensures smooth office operations by efficiently handling day-to-day tasks and maintaining a professional environment.
Key Responsibilities:
- Clerical Support: Perform general clerical duties including copying, faxing, mailing, and filing.
- Communication: Answer and direct phone calls, take messages, and respond to inquiries in a professional manner.
- Scheduling: Assist in scheduling appointments, meetings, and events; maintain calendars and coordinate conference rooms.
- Documentation: Prepare and edit correspondence, reports, memos, and emails; ensure documents are accurate and properly formatted.
- Data Entry: Input data into spreadsheets, databases, or other software; maintain records and files, ensuring they are up-to-date and easily accessible.
- Customer Service: Greet and assist visitors, ensuring a positive experience; handle basic inquiries and provide information about the organization.
- Supply Management: Monitor and order office supplies as needed; maintain inventory and ensure the office is well-stocked.
- Meeting Coordination: Prepare meeting materials, take minutes, and distribute them to participants as necessary.
- Other Duties: Perform additional administrative tasks as assigned by supervisors or managers.
Qualifications:
- Education: High school diploma or equivalent; some college coursework or an associate’s degree is a plus.
- Experience: Previous experience in an administrative or office role.
- Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills.
- Excellent organizational and time-management abilities.
- Ability to handle multiple tasks simultaneously.
- Attention to detail and accuracy in work.
- Professional demeanor and strong customer service orientation.
