OPERATIONS & PARTNER FULFILLMENT COORDINATOR
WRiTE BRAiN WORLD is seeking a OPERATIONS & PARTNER FULFILLMENT COORDINATOR with strong operations and inventory fulfillment experience, ideally in a relevant field and in a fast-paced, hyper-growth environment.

ABOUT THE ROLE:
You will work directly with and report to our Chief Executive Officer and very closely with our Senior Manager of Organizational Partnerships. In your role, you will apply your heightened skills to continuously improve all aspects of WRiTE BRAiN’s operations and logistics. You will assess and analyze metrics, optimize follow-up processes to increase closed sales to education partners, maintain oversight of conference planning, oversee WBW’s warehouse and fulfillment center activities, and fully manage all communication and uploading of new orders to our fulfillment center. You will work closely with WBW’s outsourced logistics partner and manage operational team to ensure our partners have a second-to-none “customer care” experience with WRiTE BRAiN across all phases.
WHAT YOU’LL DO:
- Work cross functionally to improve processes, support inventory control issues, address production bottlenecks and increase productivity
- Solve problems using data and develop quantitative measures of success
- Ensure that all purchase orders from partners/customers are invoiced in Quickbooks and shipped from the office here in L.A. or our fulfillment warehouse in Valencia, CA
- Communicate with partners about Purchase Orders, Shipping logistics, and fulfillment questions
- Provide support to the CEO and team by sourcing shipping and fulfillment pricing from vendors
- Coordinate with the design team and printers regarding printing & delivery of new materials
- Track published book orders from submission, through internal processes, to shipment from our out of state publishing/printing partner, intervening when necessary to troubleshoot issues
- Communicate enthusiastically and professionally with all partners, directing their questions to other staff members promptly when necessary
- Effectively prioritize to meet demands of a fast-paced and dynamic company
- Record data in Insightly CRM (customer relations management system) as needed, and with great attention to detail
- Work with focus on supporting CEO, communicating directly and often
- Pack palettes with all materials needed for presentations, bag drops and booths at educational conferences nationwide - managing extra workers as needed
- Coordinate with WRiTE BRAiN team to meet shipping deadlines in advance of all conferences
- Coordinating with conference staff around materials shipping, display, packing guidelines and deadlines.
- Organization & Inventory of commonly used packing materials, curriculum
KEY QUALIFICATIONS INCLUDE:
- 5+ years experience in operations (preferably in a start-up or small business environment)
- You are looking to invest your energy into a job you care about and stay in
- Detail-oriented, multi-tasker, with proficiency in a variety of programs (Mac-savvy, Google Suite, Dropbox, Panda, CRM –Insightly, or similar)
- Ability to work with and develop operational performance metrics (efficiency, quality, throughput, costs)
- Able to work well under pressure while managing competing demands and tight deadlines
- Experience working with many different personalities and management styles, and is flexible to meet the demands of a small business
- A good match for a team with an “all hands on deck” kind of attitude
- Comfortable moving between working in the business and working on the business
- Ability to communicate clearly using excellent written and verbal skills
- Strong organization skills with meticulous attention to detail
- Flexible mindset to change, create or adapt to new processes
- Must have your own car
IMPORTANT: This role requires your physical presence at our office in Hollywood area of Los Angeles. We have the luxury of being in a large house on a business block in a safe and desirable area. Salary is competitive and negotiable, based on experience.
