Job Summary:
We seek a highly organized and detail-oriented Part-Time Remote Assistant to support our consulting business. The ideal candidate will handle various tasks that help streamline operations and ensure smooth communication with clients. This role requires proficiency in QuickBooks, CRM, and Project Management solutions (ASANA-like), excellent communication skills, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- QuickBooks Invoicing: Prepare and send invoices to clients using QuickBooks. Ensure accuracy and timely delivery.
- Email Management: Respond to emails from potential leads, current clients, and other stakeholders. Maintain clear and professional communication.
- CRM Follow-Ups: Manage CRM systems to ensure timely follow-up with leads and clients. Update client information and track progress on projects.
- Client Communication: Make phone calls to clients to follow up on pending action items related to credentialing and licensing projects.
- Agenda and Calendar Management: Assist in organizing and maintaining the calendar. Schedule appointments, meetings, and other important events.
- Administrative Support: Provide general administrative support as needed, including data entry, document preparation, and other related tasks.
- Task Management: Track and follow up on action items, ensuring nothing falls through the cracks.
Qualifications:
- Experience: Previous experience in a similar role, preferably in a consulting or professional services environment.
- Technical Skills: Proficiency in QuickBooks, CRM systems, and Microsoft Office Suite (Word, Excel, Outlook).
- Communication: Excellent verbal and written communication skills.
- Organizational Skills: Strong organizational and multitasking abilities. Attention to detail is essential.
- Time Management: Ability to manage time effectively and prioritize tasks in a fast-paced environment.
- Remote Work: Must be self-motivated and capable of working independently in a remote setting.
Preferred Qualifications:
- Experience with healthcare consulting or licensing and credentialing projects.
- Familiarity with scheduling tools and project management software.
Work Hours:
- This is a part-time position with flexible hours. The assistant will need to be available for scheduled meetings and responsive during agreed-upon working hours.
