Key Responsibilities May Include:
- Greeting Visitors: Warmly welcoming and directing visitors, clients, or customers as they arrive, ensuring they feel comfortable and attended to.
- Managing Phone Calls: Answering, screening, and forwarding incoming phone calls while providing accurate information when needed.

- Handling Inquiries: Responding to inquiries, both in-person and via email, and directing them to the appropriate department or individual.
- Maintaining the Reception Area: Keeping the reception area tidy and presentable, with all necessary materials (e.g., brochures, forms, magazines).
- Mail and Package Handling: Receiving, sorting, and distributing daily mail/deliveries, and managing outgoing mail.
- Administrative Support: Assisting with various administrative tasks such as filing, data entry, and managing office supplies.
- Visitor Management: Registering and managing visitor logs, issuing visitor badges, and maintaining security procedures for access control.
- Document Management: Preparing and editing documents, reports, and presentations as required.
- Coordinating Office Maintenance: Liaising with facility management and maintenance staff to ensure that the office environment is safe and operational.
Qualifications:
- Experience: Previous experience in a receptionist or administrative role is preferred but not always required. Experience with phone systems and office equipment is beneficial.
- Communication Skills: Excellent verbal and written communication skills, with a professional and friendly demeanor.
- Organizational Skills: Strong organizational abilities with attention to detail and the ability to manage multiple tasks efficiently.
