Key Responsibilities:
- Administrative Duties:
- Manage daily office operations, including scheduling, correspondence, and supply management.
- Coordinate meetings, appointments, and travel arrangements.
- Maintain office records and handle document management.
- Answer phones, greet visitors, and provide general administrative support to the team.
- Accounts Payable/Receivable:
- Process invoices, verify accuracy, and ensure timely payment of bills.
- Manage AR, including preparing and sending out invoices, tracking payments, and following up on outstanding balances.
- General Office Support:
- Provide support for order confirmations, ETA updates, and customer communications as needed.
- Assist in the onboarding of new employees and coordinate HR-related activities.
- Perform other duties as assigned to support the overall operations of the company.
Qualifications:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field is preferred.
- Proven experience in an administrative role with accounting responsibilities.
- Proficiency in accounting software (e.g., QuickBooks, Zoho Books, SOS Inventory) and Microsoft Office Suite (Excel, Word, Outlook).
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication skills, both written and verbal.
- Attention to detail and a high degree of accuracy in financial tasks.
- Ability to work independently and as part of a team.
