Power Your Future with Qualus as a member of our Accounting Support Services Team! The Accounts Payable Coordinator will be primarily responsible for all Accounts Payable functions such as compiling and verifying invoices, computing discounts, verifying GL coding, preparing vouchers, reconciling vendor statements, and issuing checks for payment. This position is crucial for maintaining the financial health of the organization by managing cash flow and maintaining good relationships with vendors.
Responsibilities
- Review incoming invoices/check requests/credit card charges and accompanying documentation for accuracy and proper authorization/approval.
- Enter vendor invoices and other data points accounting software (reviewing data entry for accuracy and verify proper project/department/task categories).
- Process check requests per company policy and procedure.
- Maintain master vendor list verifying new vendors are properly authorized.
- Identify expenditures where an invoice has not been submitted for processing.
- Obtain W-9 from appropriate vendors and prepare IRS form 1099s at year end.
- Reconcile credit card statements.
- Reconcile open payables after each check run.
- Match voucher portion of A/P checks with bills, obtain authorized signatures and file voucher portion.
- Prepare month-end, quarter-end, and year-end statements as directed by the Controller.
- Provide support as needed to Accounting and Finance Team, including annual audit, special projects, etc.
- Responsible for issuing POs, weekly disbursement of payments.
- Communicate with vendors regarding their inquiries and any concerns that surface.
Qualifications
- At least 2 years of accounts payable administrative experience; or, a combination of training, education, and experience that provides the required knowledge and abilities.
- Demonstrated track record of identifying administrative or operational gaps and challenges with practiced ability to implement or recommend solutions; interpret and apply policies and procedures; deal diplomatically with the public; take responsibility; and use good judgment within scope of authority.
- Exceptional professionalism and comfortable working with confidential situations and management on all levels.
- Prior experience prioritizing multiple tasks, work effectively under stress, meet short deadlines, and take direction.
- Proven ability to successfully coordinate multiple schedules and produce accurate work despite frequent interruptions.
- Superior written and oral communication skills, with the ability to persuasively present and communicate.
- Excellent work ethic, leadership skills, interpersonal, communication and organizational skill
- Prior experience in performing general office duties such as ordering supplies, maintaining records and management database systems, coordinating maintenance of all office equipment.
- Associate’s degree or an equivalent combination of related professional level experience and directly related education.
- General knowledge of accounting and understanding of the general ledger accounts and how they relate to invoices.
