The mission of The University of Texas M. D. Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees and the public.
Program Manager opportunity in the Anesthesiology, Critical Care & Pain Division. The ideal candidate will have a Bachelor's degree and five years of related experience to include three years program management experience.
Will possess exceptional multitasking and problem-solving abilities, with a proven track record of working independently and efficiently with minimal supervision. Attention to detail and strong organizational skills are essential for success in this role. Proficiency in Microsoft Office Suite, expertise in calendar management, travel coordination, and excellent written and verbal communication skills. The ability to handle multiple tasks simultaneously while maintaining high levels of accuracy and organization.
Key Functions
Division Administrative Support
Provides administrative support for the Division Head
Manage calendar and coordinate all travel activities including obtaining visas, coordinating with host institution, tracking expenses and submitting reimbursements.
Manages special events including lectures, division retreats, and conferences.
Composes correspondence and works independently in support of the Division Head and other faculty as assigned. Exhibits independent judgment, initiative, excellent problem-solving skills and manages resources effectively. Serves as a role model for other staff.
Ensure timely submission of required reports/documents for manuscripts and grants by tracking stages, alerting investigators, and initiating response process.
Coordinates departmental activities, which include but is not limited to communications with internal and external contacts to exchange or explain information.
Contacts include upper-level administration, department chairs, managers, academicians, administrative support, pharmaceutical companies, travel agents, physician/researchers, vendors, faculty candidates, national/international cancer research organizations, and publishers/editors.
Coordinates the scheduling and use of the division's conference room.
Manages and coordinates the Division Anderson Award
Administrative Coordination
Coordinates recruitment of faculty, administrative staff, and classified staff as assigned.
Assist the Division Head and Division Administrator in strategic planning, special projects, and liaison activities other divisions/ institutional administration.
Coordinates the preparation of grant proposals and contractual agreements.
Plans and manages division-wide activities and events such as holiday parties, faculty promotion dinners, retirement events, Grand Rounds invited speakers.
Lead/direct and plan special and administrative assignments and programs.
Coordinates and maintains Division/Department emergency calling trees Coordinates and maintains Division/Department organizational charts.
Financial and Fund Management
Manages/ monitors the PRS fund monthly and performs monthly reconciliations for Division Head's funds and other funds as assigned.
Processes reimbursements on division accounts. Monitors off-site equipment agreements of division head for yearly inventory.
Monitors and coordinates a monthly reconciliation of the division head, deputy division head and assigned staff.
Complete assigned division staff quarterly Kronos audits. PRS log is updated each time expenses/reimbursements are encountered.
Monitors and reports on department compliance with division reconciliation guidelines
Communications
Works with the Department and Division leadership to produce content and prepare division newsletter; newsletter will reflect the current clinical, research, and educational activities of the division.
In collaboration with the department and division leadership to develop content, maintain, and update division & department internal and external internet websites.
Coordinates communications with the Internet Services and Office of Communications.
Ensures division accomplishments, workshops, and seminars are passed on to the institution's communication office for distribution.
Assists divisions clinics with graphic design requirements for various patient/physician brochures and educational material as needed.
EDUCATION
Required: Bachelor's degree. May substitute required education degree with additional years of equivalent experience on a one-to-one basis.
