Position Overview:
As the Project Coordinator you will work directly with Business Development Manager and cross-functional teams to satisfy customer needs which include project requirements, estimating and follow up on production and delivery.
You are self-motivated, can work independently and collaboratively with cross-functional teams.
Job Specific Responsibilities & Duties:
The Project Coordinator is responsible and accountable for, but are not limited to the following:
- Lead the planning and end-to-end implementation of each assigned project.
- Update, check and confirm through the ERP system on in-house powder availability & determine if it is a standard stock colour, custom colour, supplier stock colours.
- Define project tasks and resource requirements to ensure successful completion of the project.
- Coordinate with logistics and liaise with customers for receiving customer material, and regularly provide project status updates to the customer regarding scheduling, and finished material pick up.
- Initiate work orders (WO) and ensures WOs are accurate and reflects customer requirements & provides WO to Logistics and Production, and updates the WO as required.
- Support BDMs by sending quotes to customer within the defined timeline.
- Purchase order entry, account data management, product information and support, credit application forms, responding to sample requests, product enquiries, etc.
- Ensure all quotes and client profiles and records are accurately entered and/or updated into HubSpot (CRM).
- Build and maintain relationships with cross functional teams, suppliers or distributors.
- Coordination of internal resources to ensure the successful end-to-end execution of projects.
- Attend and provide updates during the Daily Management Meeting
- Collaborate with Operations to ensure alignment on scheduling & delivery of product to meet WO commitments.
- Laise with QC to get status of Non-conformance Reports, and dispositions
- Support BDMs by sending quotes under $3,000 to customers within the defined timeline. Any quotes above $3,000 to be reviewed and approved by VP – Sales.
- Responsible for responding and managing customer requests and escalations
- Liaise with suppliers to get information on pricing and lead time for providing information to BDM and Estimators.

Qualifications:
- Bachelor’s degree in business administration, Supply Change Management or related field
- Minimum of 3 years related experience in a project management or similar role preferably within a manufacturing company
- Excellent written and oral communication skills in English is essential. Fluency in French would be considered a desirable asset.
- Ability to provide an exceptional Customer Service experience
- Industry specific knowledge in coated metals including but not limited to: architectural (windows, door, wall panels, etc), retail fixturing, fencing, etc.
- Proven ability to build strong relationship with internal customers, external customers, distributors, and other stakeholders including international clients
- Excellent organizational skills; ability to work under pressure, prioritize and manage time efficiently
- Familiarity with ERP systems and CRM systems
- High Proficiency in Microsoft Office (Word/Excel/PowerPoint/Outlook)
- Strong ability to collect, organize, analyze and disseminate data with attention to detail and accuracy
