Phone Operator/Receptionist. Thisis the first point of contact for clients and other stakeholders. The role involves managing incoming and outgoing calls, scheduling appointments, handling inquiries, and providing excellent customer service. The ideal candidate will be organized, efficient, and possess strong communication skills.
Key Responsibilities:
Answering Calls:
- Handle a high volume of incoming calls and route them to the appropriate departments or personnel
- Respond to client inquiries, provide information about services, and take detailed messages
- Make outgoing calls as needed to confirm appointments, follow up on inquiries, and communicate with caregivers
Administrative Duties:
- Greet visitors and manage the front desk area
- Handle basic office tasks such as filing, data entry, and managing correspondence
Customer Service:
- Provide a warm, welcoming, and professional experience for all callers and visitors
- Address client and caregiver concerns with empathy and efficiency
- Follow up on client satisfaction and service quality
Communication:
- Maintain clear and effective communication between clients, caregivers, and the agency
- Ensure that all information is accurately relayed and documented
- Participate in team meetings and contribute to process improvements
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus
- Previous experience as a receptionist, phone operator, or in a customer service role, preferably in a healthcare or home care setting
- Excellent communication skills, both verbal and written
- Proficiency in using office equipment, phone systems, and basic computer programs (e.g., Microsoft Office, scheduling software)
- Strong organizational skills and attention to detail
- Ability to multitask and handle a fast-paced work environment with a calm and professional demeanor
- Compassionate, patient, and able to handle sensitive information with confidentiality
