Position Overview: As the Front Office Administrative Assistant, you will play a pivotal role in ensuring the smooth operation of our office while being the first point of contact for our visitors and clients. This role is perfect for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in delivering exceptional customer service.
Key Responsibilities:
- Customer Interaction: Greet and direct visitors with a warm and professional demeanor. Manage incoming calls, transferring them to appropriate teams, and ensuring that customer needs are efficiently addressed.
- Office Management: Oversee the phone system, including setting up mobile devices for employees and managing after-hours services. Ensure all business licenses, vehicle registrations, and insurance certificates are up to date.
- Event Coordination: Collaborate with team members to plan and execute company events, celebrations, and other gatherings.
- Administrative Support: Handle various clerical duties such as ordering office supplies, maintaining a clean and organized reception area, managing conference room schedules, and publishing the company newsletter.
- Uniform and Contract Management: Coordinate uniform orders, review monthly billing for accuracy, and oversee contract renewals.
- Continuous Improvement: Identify opportunities to enhance office operations and develop processes that improve efficiency.

The ideal candidate is a people person who loves organizing events, has a keen eye for detail, and enjoys being the go-to person in the office. You’ll be supporting various teams and reporting directly to the Vice President of Operations, making this role both challenging and rewarding.
Education & Experience:
- Required: High school diploma (or equivalent) or higher.
- Experience: Minimum of 3 years in an office or customer service role, with a focus on administrative tasks.
