We are currently partnering with a family-owned property management company to find an Executive Administrative Assistant. This role involves providing confidential support to the Chief Executive Officer and offering administrative and accounting assistance to the corporate staff.
Key Responsibilities:
- Prepare, review, organize, and distribute correspondence, documents, and packages.
- Coordinate travel and health insurance arrangements for executive leaders.
- Manage licenses, accounts, and subscriptions for executive leadership.
- Oversee calendar management and communication tasks.
- Handle the preparation, formatting, scanning, and management of files and records.
- Prepare and file tax, investment, and other critical reports.
- Answer phone calls and greet visitors during business hours, manage solicitors, and resolve guest, vendor, and other disputes.
- Maintain the telephone system, including updating the voicemail system and speed dials as needed.
- Run errands as required.
- Respond promptly and professionally to accounting correspondence, including accounts receivable and payment status inquiries.
- Handle insurance-related payments and manage insurance certificates.
- Perform bank deposits.
- Obtain W-9 forms from vendors.
- Process and code weekly accounts payable invoices.
- Review and organize data entry.
- Track payment approvals and match checks with backup documentation for processing.
- Mail and file processed accounts payable checks.
- Review accounts payable entries.
- Maintain a high level of discretion and confidentiality at all times.

- Attend all mandatory meetings as required.

- Perform additional tasks, including cross-training, as assigned.
Qualifications & Education:
- Experience as an executive assistant, legal assistant, or in a similar role.
- An AA degree in accounting or equivalent accounting experience is preferred.
- Proficiency in Microsoft Office and strong phone etiquette.
- Ability to accurately transcribe and type at a speed of 65-70 words per minute.
- Fluency in English is required.
Travel:
- This position may require occasional driving for work, including regular short trips within the San Diego area.
