OWN Real Estate is seeking a motivated and detail-oriented Listing Coordinator who thrives in a dynamic environment. This role is crucial to ensuring that our listings are managed with the utmost efficiency, accuracy, and professionalism from start to finish. As a Listing Coordinator, you will be responsible for managing the entire listing process, including initial property visits, coordinating with sellers and vendors, handling MLS database entries, managing contracts, scheduling property inspections and open houses, and tracking sales activity. Your goal will be to ensure that every listing is presented in the best possible light and that all aspects of the process are handled smoothly and efficiently.
Key Responsibilities:
- Listing Management: Oversee the entire listing process from initial contact to executed contract, ensuring all tasks are completed promptly and accurately.
- Property Visits: Conduct property visits to gather necessary information, take photos, and coordinate with vendors for staging, repairs, or other services as needed.
- MLS Management: Accurately input and maintain all listing information in the MLS database, ensuring that all details are up-to-date and compliant with regulations.
- Documentation: Prepare and manage all necessary paperwork, including listing agreements, sellers' disclosures, and other required documentation. Secure all required signatures and ensure that files are complete and compliant with brokerage standards.
- Showings & Open Houses: Coordinate and schedule showings and open houses, gathering and sharing critical feedback to improve the property’s marketability.
- Sales Tracking: Keep detailed records of all sales activity, input client information into the CRM, and produce reports to showcase results and goal progress to the team.
- Client Communication: Maintain regular communication with sellers to update them on the progress of their listings and address any concerns or questions they may have.
- Team Collaboration: Work closely with agents and other team members to ensure a seamless process and a high level of client satisfaction.
Qualifications:
- Technical Proficiency: Confidently navigate basic computer programs and create clear, organized spreadsheets using Excel or similar software.
- Customer Service: Driven to deliver an exceptional customer service experience to every client, ensuring their needs are met and expectations exceeded.
- Real Estate Experience: Prior experience in real estate, transaction coordination, titles, or mortgages is highly preferred. A current real estate license or active pursuit of one is required.
- Communication Skills: Excellent written and verbal communication skills, with the ability to clearly convey information and maintain positive relationships with clients and team members.
- Problem-Solving: Strong ability to troubleshoot issues as they arise and propose effective solutions quickly and efficiently.
- Attention to Detail: Meticulous attention to detail in managing documentation, data entry, and communication, ensuring nothing is overlooked.
