As Logistics and Operations Coordinator, you will be reporting to the Head of Logistics to contribute to the achievement of sales and mindshare targets through working with Sales, Product support team and external parties. The Logistics and Operations coordinator will be a supporting facilitator of the business, enabling the business to fulfill client needs and expectations by efficiently processing customer orders, recording data in the system, and communicating information in a timely and accurate manner.
The role is UK based, fully remote working – some occasional travel to London office may be required. Due to business needs, the working hours are from 12pm to 8pm, Monday to Friday, but this can be discussed to provide flexibility.
Full training will be provided.
EDUCATION/EXPERIENCE REQUIRED:
A-Level or equivalent desirable with GCSEs at Grade 4-5 or Equivalent in English Language and Mathematics; Desirable to have 2-year experience in a similar position.

JOB SUMMARY & RESPONSIBILITIES
Duties & Responsibilities
Support Head of Logistics in the operational process flow to ensure customer orders are fulfilled by delivering the right quantity of right product, in the right condition, to the right customer, at the right place, at the right time, at the right price.
Working with Thinkspace UK and US teams and external parties to ensure the inventory is accurate at any time, by recording data in a timely and accurate manner in ERP.
Coordinate ordering process from Suppliers
· Raise POs in the system
· Coordinate supplier stock replenishment
· Coordinate stock calling off process with supplier and fulfilment distribution centre (3PL)
· Coordinate day to day order processing and questions with suppliers
Inbound / Outbound logistics
· Ensure POs ETA dates are up to date in the system
· Communicate via system and emails delays about received inbound and shipped outbound
· Stock allocation against customer orders
· Providing Order fulfilment shipping documentation and instructions to the nominated 3PL based on the order requirements
· Ensuring the SOs shipping information is always recorded and up to date, to include tracking, ETAs, etc
· Shipping rates recording, monitoring and addressing fluctuations outside of the agreed rate range.
· Produce and send container breakdown reports for inbound containers US fulfilment centre (3PL)
· Raise and submit carrier claims for in-transit damaged products
· Manage day to day communication with freight forwarders and agents
Data and documentation
· Checking and accurately raising supplier bills in the system
· Accurate document storage
· Accurate and timely data input in ERP system
· Communicate data / documentation variances and errors.
Supporting wider Team
· Support the Sr. Technical and Installation Manager with claims and shipping items from stock and direct from factory.
· Support Thinkspace Finance Controller with Bills reconciliation
· Manage end to end UK order processing to include, quoting, order confirmation, invoicing, communication with supplier, customers and shipping agents.
· Work with Sr. Technical and Installation Manager to ensure spare parts transactions and inventory are recorded in the systems.
· Support Sales team with queries about shipments and inventory
· Support Marketing department with creating new SKUs in the system, placing POs, coordinating the materials arrival and the distribution after
