Description
We are seeking a highly organized and detail-oriented professional to provide comprehensive support to our Chief Executive Officer. In this crucial role, you will play a key part in ensuring the smooth operation of the company by handling various administrative tasks and serving as a vital link between the CEO and other departments, vendors, and stakeholders.
Key Responsibilities
- Efficiently manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements to optimize their time.
- Act as the primary point of contact for the CEO, screening calls, emails, and visitors with professionalism and discretion.
- Conduct research on industry trends, competitors, potential partners, and funding opportunities to provide valuable insights.
- Assist with creating marketing content by writing articles and editing photos to support our branding efforts.
- Communicate with vendors to obtain quotes and manage ongoing relationships.
- Maintain accurate records and documentation, including managing lab permits and scanned documents.
- Help with HR tasks such as sending company-wide emails, maintaining employee personnel records, and assisting with payroll.
- Prepare and manage expense and reimbursement reports for the CEO.
- Provide technical support to the CEO, including managing office keys and supplies.
- Handle mail collection and distribution as needed.
- Prepare and edit correspondence, reports, presentations, and other important documents.
- Maintain internal databases and generate regular reports for management.
- Organize and facilitate meetings by preparing agendas, taking minutes, and following up on action items.
- Oversee office procedures to ensure efficient operations, including managing supplies and equipment.
- Assist with special projects and initiatives as directed by the CEO.
- Conduct research and provide insights to support executive decision-making.
- Perform routine office tasks such as filing, copying, and scanning documents.
- Support the company's ERP system with data entry, reporting, and troubleshooting.
Qualifications And Skills
- Bachelor's degree or equivalent experience.
- 5+ years of experience as a Senior Executive Assistant or in a similar role.
- Exceptional organizational and time management skills with the ability to prioritize effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and a quick learner of new software.
- Familiarity with the tech and semiconductor industries is a plus.
- Knowledge of ERP systems is advantageous.
- Ability to maintain confidentiality and exercise discretion.
- Proactive problem-solving skills and a positive attitude.
- Flexibility to take on a variety of tasks and adapt to changing priorities.
