Job Description
The Scheduling Specialist will be responsible for gathering business data and scheduling needs from department managers at Snapdragon Stadium, Viejas Arena, Open Air Amphitheatre, and Tony Gwynn Stadium and then generating accurate schedules for employees based upon business needs. Must be able to enter schedules into UKG HRIS accurately and timely. Responsible for covering leaves of absences, call outs, and other related absences of employees and tracking attendance violations. Must support and ensure all assigned outlets and venues are fully staffed for all events.

- Under the routine direction of Human Resources, partners with the department managers to ensure scheduling needs are met by optimizing schedules of shared employees at Snapdragon Stadium, Viejas Arena, Open Air Amphitheatre, and Tony Gwynn Stadium. Will be involved in interacting with contracted employees for Snapdragon Stadium.
- Interacts with staff and provides communication and resolves staffing related issues.
- Assists with and further develops policies and procedures to streamline event day employee check in processes and procedures.
- Works closely with the Staffing Specialist and hiring managers to ensure proper staffing levels.
- Using financial reports and UKG reports, evaluates labor requirements based on sales projections and allocates staff in accordance with budget guidelines.
- Monitors time off requests and works with department managers for proper staffing levels.
- Monitors and tracks all employee call-outs and attendance and prepares, gains approval, and administers disciplinary actions as necessary for attendance related violations.
- Maintains in-depth knowledge of legal, regulatory, and compliance requirements, including but not limited to federal, state, and local wage and hour laws and labor laws and performs duties in a manner that reduces risk and has the ability to effectively communicate company policies and laws to managers and employees .
- Must be present at all major events which includes a rotational work schedule such as nights, weekends, and holidays and will occasionally work both weekend days when events require.
- Must comply with and ensure continued, consistent compliance with all company policies, and federal, state, and local laws/regulations including but not limited to: employment, safety, and health.

Job Requirements
MINIMUM EDUCATION, TRAINING AND EXPERIENCE REQUIRED:
The minimum requirement for applicants is a High School Diploma or a General Education Development (GED) degree. Between 1-3 years of experience in a high volume scheduling and a minimum of 1 year of hospitality scheduling or related experience.
Bachelor's degree in Business Administration, Finance, Accounting or mathematics or related field preferred from an accredited college or university or a combination of experience and education. .
Excellent verbal and written communication skills and presentation skills, including facilitation skills and excellent interpersonal and customer service skills. Ability to interact with all levels of employees and deliver difficult messages when required.
Excellent organizational skills and attention to detail.
Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies.
Excellent time management skills with a proven ability to meet deadlines.
Strong analytical, decision making, and problem-solving skills. Proficient in the application of mathematical calculations and projections.
Proficient with Google Workspace, Microsoft Office or related software.
UKG experience is a plus.
Bilingual in Spanish is a plus.

Must be able to read, write and understand English fluently. Requires the ability to follow verbal and written instructions, guidelines and objectives. Requires the ability to read and comprehend a variety of informational documentation, procedures and correspondence. Requires the ability to write business correspondence with proper format, punctuation, spelling and grammar. Must be able to communicate effectively using electronic media and in written and verbal forms. Requires the ability to effectively communicate with customers and employees.
Mathematical Skills
Requires the ability to prepare and analyze numerical figures, create and interpret spreadsheets at a high level. Must be able to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, percentages and decimals.
Reasoning Ability
Requires the ability to apply common-sense understanding to carry out general written or oral instructions. Must be able to multitask, prioritize work and pay attention to detail. Requires good analytical and quantitative skills, and the ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Manual Dexterity
Must be able to utilize a computer. Requires the ability to use a variety of office machines and equipment.
Physical Communication
Must have the ability to talk/expressing and/or exchanging ideas and hear/perceiving sounds.
Physical Demands
Must be able to operate computers, copy/scan machines, fax machines and other general office equipment such as a 10-key calculator. Must be able to move, lift or carry heavy objects or materials up to 15 pounds. Ability to walk for extended periods within a stadium environment in inclement weather which may frequently require ascending/descending stairs. Specific visual abilities required by this job include close vision for extensive reading and document interpretation.
WORKING CONDITIONS AND HAZARDS
Non-event work is regularly performed in a traditional office setting and event day work is generally performed throughout the stadium in an outdoor setting. Working outdoors in varying weather conditions with exposure to dust, allergens and work temperatures. There may be occasional exposure to food fumes or airborne particles. The noise level in the work environment is usually low to moderate on non-event days and moderate to loud on event days.
Background Check Information
A background check will be conducted after a conditional offer of employment is extended by the company and accepted by the applicant and must be satisfactorily completed prior to any applicant beginning work in a full-time, part-time non-student, or sensitive student capacity with Aztec Shops Ltd.
