Description
In this role, you will play a crucial part in supporting multiple divisions and leadership teams by providing exceptional administrative and executive-level assistance. This position is particularly suited for individuals who excel in a remote work environment and are located in the Los Angeles area, with opportunities to attend in-person meetings as necessary.
Key Responsibilities
- Support Leadership: Provide clerical, administrative, and executive-level support to ensure the smooth functioning of various divisions.
- Organize & Plan: Manage calendars, coordinate high-level meetings and events, and handle travel arrangements for virtual or in-person engagements.
- Meeting Coordination: Attend and coordinate weekly meetings, take notes, and ensure all logistics such as catering, video conferencing, and room setup are in place.
- File Management: Create and maintain shared files for seamless communication and collaboration across the organization.
- Reporting: Prepare routine progress reports and contribute ideas for new strategies where needed.
- Communication: Act as a point of contact, representing the organization via phone, email, Slack, Zoom, and in-person interactions.
- Project Management: Assist with special projects, manage office tasks, and participate in strategic planning and implementation.
- Budget Assistance: Help manage budgets, monitor expenses, and prepare expense reports.
- Administrative Duties: Handle a variety of administrative tasks to support the organization's goals and operations.
Skills & Qualifications
- Interpersonal Skills: Friendly, team-oriented, and able to work well with all levels of internal and external stakeholders.
- Communication: Strong verbal and written communication skills, with a keen eye for detail and proficiency in proofreading.
- Technical Proficiency: High proficiency with GSuite, Zoom, Slack, Asana, and other tools, with a quick learning ability for new technologies.
- Time Management: Excellent at prioritizing tasks, managing multiple deadlines, and ensuring timely completion of all assignments.
- Project Management: Strong project management skills with an emphasis on accuracy, confidentiality, and follow-through.
- Independence: Ability to work independently, with minimal supervision, and deliver high-quality work even with minimal guidance.
- Relationship Building: Ability to manage effective relationships, exercise good judgment, and foster a collaborative team environment.

Minimum Qualifications
- Experience: At least five years of experience supporting senior-level executives, preferably in a fast-paced administrative environment.
Working Conditions
- Remote Work: This is a remote position, with occasional opportunities to attend in-person meetings in the Los Angeles area.
- Technology Use: Proficiency with digital communication tools is essential, as is the ability to work on a computer for extended periods.
- Physical Requirements: Ability to lift and move up to 25 pounds, and work primarily in a sedentary indoor environment.
