Our investment client company is seeking to add a dynamic and energetic Office Administrator ot their organization. Building client relationships is key component of this role along with general office duties that support management and key advisors.
Primary Responsibilities:
- Provide ongoing service adn administrative support to advisors and staff including processing mail, scanning, faxing, and filing
- Greet guests, answer incoming calls and triage appropriately
- Schedule appointments and manage Office Calendar
- Coordinate preparation of materials for client meetings
- Send routine correspondence to clients as directed
- Update and maintain client data in relationship management system
- Process incoming check deposits
- Track and coordinate Insurance Licensing across multiple states
- Prepare internal reports for advisors
- Provide departmental and project support, as needed
- Facilitate overall office experience by maintaining professional environment (manage office supplies, coordinate building maintenance, preserve office appearance)
Experience and Required Skills:
- Prior investment firm administrative experience or banking experience
- Exposure to financial services concepts including investments, retirement accounts, annuities and insurance, etc., preferred
- Attention to detail, strong organizational skills, follow-through
- Abilitly to prioritize while working quickly and accurately
- Effective and concise communication skills
- Resourceful and proactive work style with strong sense of ownership
- Positive, can-do attitude and approachable manor
- SalesForce experience, preferred
- Proficiency in MS Office Suite
