Position Overview:
We are seeking a highly organized and detail-oriented Operations Administrative Officer to join our team. This role is crucial in ensuring the smooth day-to-day operations of our operations, supporting both administrative and operational functions. The ideal candidate will have experience in administrative support, a strong understanding of compliance regulations, and a proactive approach to problem-solving.
Key Responsibilities:
- Oversee and coordinate daily administrative and operational activities.
- Assist in the preparation and management of project documentation, including contracts, permits, and compliance reports.
- Maintain accurate and up-to-date records of asbestos abatement projects, including timelines, budgets, and client communications.
- Coordinate with project managers, field staff, and subcontractors to ensure efficient project execution and adherence to safety regulations.
- Process and track invoices, purchase orders, and other financial documents.
- Manage scheduling and logistics for project sites, including coordinating site access and materials delivery.
- Assist with regulatory compliance, ensuring all activities adhere to local, state, and federal regulations.
- Provide administrative support to senior management, including preparing reports, organizing meetings, and handling correspondence.
- Develop and implement office procedures to enhance operational efficiency.
Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, or a related field preferred.
- 3+ years of experience in administrative support or operations management, preferably in the construction or environmental remediation industry.
- Strong understanding of regulatory requirements related to asbestos abatement preferred.
- Excellent organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management software.
- Exceptional communication skills, both written and verbal.
- Ability to work independently and handle multiple tasks in a fast-paced environment.
- Strong problem-solving skills and a proactive approach to identifying and addressing issues.
