About the Role:
We are seeking a full-time (30-40 hours per week) Client Relations and Practice Development Coordinator to join our team in our office located in Campbell, CA. There is the possibility this could be hybrid in the future. This role involves direct interaction with families, clinicians, and schools, as well as supporting the CEO and other practitioners. As the first point of contact for parents, we are looking for a warm and outgoing individual who loves talking to people, can share information clearly, listens intently, and empathizes with parents.
This role focuses on the growth and development aspect of the practice, combined with operational and administrative responsibilities. The role requires someone proactive in both client engagement and practice management.

What We’re Looking For:
- Strong administrative and operations experience.
- Ability to anticipate needs and proactively address problems.
- Highly organized and detail-oriented.
- Excellent written and verbal communication skills.
- At least 5 years of experience in a similar role.
Role Responsibilities:
- Sales and appointment booking.
- Receiving and making phone calls from prospective and active clients.
- Tracking leads and communicating with clinicians on leads.
- Email management, including labels and filters.
- Calendar management using Google Calendar, SimplePractice, and Calendly.
- Managing passwords and secure information with 1Password.
- SOP creation and management using Tango, Notion and Loom.
- Data entry using Monday.com, Google Sheets, and SimplePractice.
- HR Partner management and new employee onboarding.
- Maintaining HIPAA compliance.

Hiring Process:

Pay range: $30-$40 per hour.
